# Common Issue – Metadata won’t be pulled out of URL

When composing a post, you can encounter the following issue: metadata is not detected via URL.

In this case, the image is not detected, and the title and description are not populated in the corresponding fields of the post.

We recommend using the Facebook debugger <https://developers.facebook.com/tools/debug/>, to understand what the issue could be.

For example, if the following message appears:

`Missing Properties: The following required properties are missing: og:type, og:image`

This means that Facebook can't find the properties in question. In fact, Facebook uses the OG properties to generate your preview (with metadata).

In this case, you will need to update what is added to the `OG:image` and `OG:type`.

# Facebook's Link Ownership Tool - Socialflow FAQ

**To indicate "ownership" between a Page and a domain, follow these steps:**

1. As a Page admin, go to your Facebook Page and click Publishing Tools. In the left-hand column, click the tab that says "Link Ownership."

2. Find the "Authorize Page" section in the middle of the page and follow the directions to highlight and copy the Open Graph markup tag shown (this is the tag that says ).

3. *(You will need to coordinate with your website's webmaster for this step)*Open your Content Management System (CMS) and input the tag in the tag of your website's HTML.

   *Note*: Your site configuration and how you would like to grant editing access may vary. If you would like to only grant link post modification access for specific sections of your website, you will need to choose where in your code you would like to indicate Page(s) have access for editing (i.e. if a Page should only have a link post modification access to the sports section of your website, you should find the section of code that controls only this section).
4. Paste the Open Graph markup tag that you copied from Publishing Tools into this section of your code. After this step, the code has now authorized the Facebook Page to modify the metadata of page posts that link to this website.

   *Note:*To authorize multiple Facebook Pages for one website domain, copy and paste into your code Open Graph markup tags from each of the Pages you would like to grant link ownership. To be able to modify links from multiple domains, a Page's Open Graph markup tag must be pasted in each website's code.

   ```

**To verify that you have successfully enabled** **link** **post modification for a Page, follow these steps:**

1. In Publishing Tools on your Page, find the section labeled "Verify," and follow the directions to fill the open field with the domain you expect to have link ownership with.

2. Click the "Verify URL" button.

3. If you have successfully enabled link post editing for your Page, a green checkmark will confirm your site is connected to your Page. If your Page has not successfully connected with your website, a red box will indicate you need to reconfirm the link ownership steps.

4. If you added multiple Pages' Open Graph markup tags to your website, you can use the Facebook [Share Debugger](https://developers.facebook.com/tools/debug/) to verify that the Facebook crawler is scraping all the tags that you added.

**Q: What is the** **Link** **Ownership tool?**

A: The Link Ownership tool allows Page admins to verify that they own a link. Once verified, a Page will be able to edit link previews for only the links and domains they own.

**Q: Does my Facebook Page have access to the** **Link** **Ownership tool?**

A: If you are a Page admin, go to your Facebook Page and click Publishing Tools. In the left-hand column, if you see the tab 'Link Ownership' then your Page has access.

**Q. If my client's Facebook Page doesn't have access to the** **Link** **Ownership tool, how can they get it?**

A: Please have your client reach out to their Facebook CP/CSM to request access to the tool.

**Q. Will there be a Graph API update that will let you claim that you own a** **link** **?**

A: No, ownership requires the owner of a website to make configuration changes to their website. Once this has been set up, Facebook's crawler verifies that information. **Q: What does the future of** **link** **editing** **look like?**

A: We're committed to developing solutions that address link post metadata editing needs, and these Graph API endpoints are a step towards that. By verifying link ownership through Open Graph tags we can support the link editing needs of publishers and advertisers for the websites they own and also protect our community from misinformation.

We've also heard feedback about the need for establishing ownership at a domain-level and understand the existing tools do not address that. This is something we are actively working on and we will have more to announce soon.

# How Do I Prevent Duplicate Posts in SocialFlow?

## How SocialFlow Determines Whether an RSS Item Is "New"

An RSS item is considered a duplicate (and therefore ignored) if **either** of the following is true:

1. **The** **matches** an item previously fetched, **or**

2. **The combination of** `Title + Link`**matches** an item previously fetched

Even if you generate a *new* GUID, the item can still be filtered out if the **Title and Link are unchanged** from a prior item.

SocialFlow's feed fetcher does **not** use an item's publish date (for example,`pubDate`) to decide whether to import it. Items added to the feed later should still be picked up---provided they pass the uniqueness rules above.

## RSS Feed Requirements and Best Practices

### Include a for Every Item

Your RSS should provide a element per . Missing or non-unique GUIDs are a frequent cause of "not importing" or "missing from queue" issues.  
Ensure the GUID is **truly unique per entry**, especially when re-promoting or republishing content.

### Ensure Uniqueness on More Than Just GUID

Because SocialFlow also checks `Title + Link`, you should treat all of the following as uniqueness keys:

* `<guid>`

* `<title>`

* `<link>`

For evergreen or syndicated content where you expect repeated promotion, plan a strategy to make at least one of these change per republish, ideally in a controlled, consistent way.

## How to Republish or Recycle Content Successfully

If you want an older story to be ingested again via RSS (for example, re-promoting evergreen content), use one of the following approaches.

### Option A: Make the Link Unique (Recommended)

Append a harmless query string to the URL so the `Title + Link` combination becomes new:

    https://example.com/story
    https://example.com/story?version=2

This is often the cleanest approach because it preserves the headline while changing the uniqueness key.

### Option B: Modify the Title Slightly

Adjust the title to create a new `Title + Link` combination, for example:

* Add a date stamp: `My Headline (Updated Feb 2026)`

* Add a label: `My Headline --- From the archives`

### Option C: Ensure Republished Items Receive a New GUID

If your CMS reuses the same GUID when an article is updated or republished, SocialFlow will treat it as already processed. Work with your development team to ensure the GUID changes when the story is reintroduced for promotion.  
A new GUID alone may not be sufficient if `Title + Link` remains identical to an item previously fetched.

### Option D: Manual Publishing Workflow for Intentional Duplicates

If you must reuse the same title and link, consider a manual workflow such as routing items through a feed configured to "hold," then editing and publishing manually after they appear in the queue (exact availability depends on your SocialFlow configuration).

## Interaction with "Limit Duplication" Settings

SocialFlow duplication controls can prevent duplicate links from being published, depending on configuration (for example, limiting duplication by link). However:

* Even if duplication limits are relaxed, **RSS ingestion can still be blocked** by GUID and/or `Title + Link` duplication checks.

* If you expect updated content to re-import, the feed item must still appear unique to the fetcher.

## Feed Update Signals (Headers and Timestamps)

To help SocialFlow recognize that a feed has changed, keep feed-level update indicators current, such as:

* `lastBuildDate`

* HTTP `ETag`

* HTTP `Last-Modified`

If your feed infrastructure supports them, updating these values when items change can improve consistency of fetch behavior.

## Troubleshooting Checklist

When items don't appear in the queue, check the following:

1. Confirm the item appears in the RSS feed you configured SocialFlow to ingest.

2. Verify the item has a and that it is unique (not a static value reused across posts).

3. Check whether the item's `Title + Link` matches something already fetched.

4. If republishing/evergreen:

   * Change the link (query string), **or**

   * Change the title, **and**

   * Ensure the GUID changes if your CMS tends to reuse it

5. Ensure the feed's update signals (`lastBuildDate`, `ETag`, `Last-Modified`) are being updated when content changes.

6. If multiple feeds are configured, confirm the same items are not overlapping across feeds (overlap can trigger duplicate filtering).

## Customizing Post Text from RSS (Template Settings)

If your RSS includes multiple text fields and you want SocialFlow to use something other than the headline for the social caption (for example, a sell/standfirst), adjust the feed's **Template** settings to select the desired RSS field.

## Link Shortening Note

You typically cannot set "Do Not Shorten" as a global default for links. If needed, you can select **Do Not Shorten** at publish time, or use a vanity URL approach (depending on your organization's link strategy).

# How Do I Reactivate My SocialFlow Account?

## 1. Why your SocialFlow account was disabled

SocialFlow (Amplifier) accounts are automatically disabled after 90 days without a successful login. This is an automated nightly security process specific to the platform.

An administrator may also manually disable an account for security, offboarding, or organizational reasons.

## 2. Common symptoms of a disabled account

If your SocialFlow account is disabled, you may see one or more of the following:  

|            Symptom            |                                                            Details                                                            |
|-------------------------------|-------------------------------------------------------------------------------------------------------------------------------|
| "Email or password incorrect" | Error appears even when you enter the correct credentials.                                                                    |
| Generic authentication errors | Messages like "authentication/server interruption" or "brief interruption."                                                   |
| Password reset failures       | Resetting your password does not resolve login issues.                                                                        |
| Login failures via SSO        | If your organization uses Single Sign-On, the underlying account may still be disabled despite successful IdP authentication. |
| Generic login errors          | Vague error messages without specific diagnostic information.                                                                 |

## 3. Why a password reset alone won't work

Resetting or changing your password does not automatically re-enable a disabled account. A password reset updates your credentials, but it does not change the account's disabled status. To regain access, you must complete the reactivation process below.

## 4. How to reactivate your account

You have two options to reactivate your SocialFlow account.

### 4.1 Option 1: Contact Piano Support

Use this option if you don't know who your organization's administrator is or can't contact them directly.

1. Open a support request with Piano Support and include:

   * Your email address

   * The exact error message(s) you're seeing

   * Your environment (Production, Staging, or Sandbox)

   * An approximate timestamp of when you last successfully logged in

2. Copy (CC) your organization's Piano administrator on the support request.

3. Ask the administrator to explicitly confirm in their reply that your account should be reactivated.

4. Piano Support will reactivate your account once the administrator's authorization is received.

### 4.2 Option 2: Direct admin reactivation

This is the fastest option if you are an administrator or have direct access to the admin console.

1. Sign in to the Piano Admin Console with your administrator account.

2. Navigate to **Settings → Admin → Users and Permissions**.

3. Search for and open the user record that needs reactivation.

4. Find the **Active** status checkbox or toggle. In some versions, this may appear as an "account status" field.

5. Check the **Active** checkbox to re-enable the account.

6. Save your changes.

7. Have the user attempt to log in again, then proceed to the post-reactivation steps below.

## 5. Log in the same day after reactivation

After your SocialFlow account is reactivated, log in as soon as possible --- ideally the same day.

If you don't log in promptly, the automated nightly inactivity process may disable your account again, and you'll need to repeat the reactivation steps.

## 6. Browser troubleshooting after reactivation

If you still see login errors after reactivation, try these steps:

1. Clear your browser cache and cookies for the Piano login site.

2. Hard refresh using **Ctrl + F5** (Windows/Linux) or **Cmd + Shift + R** (macOS).

3. Try a private or incognito window to rule out cached sessions or interfering browser extensions.

4. Temporarily disable browser extensions, especially ad blockers and privacy tools.

5. Switch to a different browser if errors persist. Chrome is recommended.

6. If your organization uses SSO, confirm your email address matches exactly what your Identity Provider (IdP) expects, especially if your email was recently changed.

## 7. Two-factor authentication recovery

If you're blocked by 2FA after reactivation, follow the steps for your authentication method.

### 7.1 Google Authenticator

* Verify you're entering the correct 6-digit code from the Google Authenticator entry labeled "Piano."

* If the code is incorrect, remove the existing Piano entry from Google Authenticator and set up 2FA again after logging in.

### 7.2 SMS

* Request the SMS code option during login if your organization allows multiple delivery methods.

* If your phone number is wrong and you can't log in to update it, contact Piano Support. They can temporarily disable 2FA so you can sign in and reconfigure it.

### 7.3 If you need additional help

* If you can't access your 2FA codes and can't log in, contact Piano Support.

* An administrator can temporarily disable 2FA from the admin console to allow you to sign in and reconfigure it.

* Provide your email address and any backup codes you may have.

## 8. SSO-specific considerations

If your organization uses Single Sign-On (for example, Google Workspace, Microsoft Azure AD, or Okta), keep the following in mind:

* **Reactivation is still required in Piano.** Even with a working SSO login, your underlying SocialFlow account may remain disabled. Both reactivation methods above still apply.

* **Email address alignment.** Confirm that your email address matches exactly what your Identity Provider expects. If your email was recently changed in your organization's IdP, update it in Piano as well.

* **SSO login still shows errors.** If you successfully authenticate via your IdP but still can't access SocialFlow, the account may still be disabled. Use one of the reactivation methods above.

* **Contact your IT department.** If you're having trouble with SSO authentication itself, reach out to your organization's internal IT team. They manage your IdP configuration.

## 9. Preventing future deactivation

To avoid being locked out again, log in to SocialFlow (Amplifier) at least once every 90 days. Setting a recurring calendar reminder is a simple way to stay ahead of the automated inactivity process.

## 10. When to contact Piano Support

Reach out to Piano Support if:

* You don't know who your organization's administrator is. Support can help identify the correct contact.

* Your administrator can't access the admin console to reactivate your account (for example, they lack the required permissions).

* Your account appears to have been reactivated but you still can't log in, especially after clearing browser cache and trying alternate authentication methods.

* You're locked out due to 2FA and can't update your phone number. Support may temporarily disable 2FA.

* After reactivation, you can't access the correct organization or account. There may be a multi-organization access issue.

* Browser troubleshooting doesn't resolve the login issue. There may be a platform-level problem.

# How to Add a New Threads Account?

*Use case: You already have a Threads account that is linked, and you want to add another Threads account.*

From the *Settings → Application → Social Accounts* interface, click on "Add Social Account", then select **Threads**:

In this situation, make sure that you are not trying to add the same account a second time. To switch to a different Threads account, you will need to log in to a different Threads account first, and then add a new Threads handle.

After you are logged into the second Instagram account, you will need to go to Threads and click "Login with Instagram", so the browser will overwrite the previous Threads session with new cookies. Otherwise, you still have old Threads cookies (from the 1st account) even when you logged in to Instagram with a different handle.

Threads doesn't support switching accounts during authorization, so our clients need to be logged in to Threads with the handle that they want to add.

# How to Invite New Users to Socialflow

When you are an Admin in Socialflow, you can add new users or edit user permissions for anyone on your team at any time.

To Add a New User:

1. Go to [Settings → Admin → Users and Permissions](https://app.socialflow.com/settings/admin/users_permissions), and click **Invite New User**.

2. A new form page will load where you can enter the following details:

* Full name

* Email

* Country

* Timezone

Then, you can select the desired user permissions.

If you want the new user to have Admin level permissions as well, just check the **Account Admin** box under "Additional Roles." The user will then automatically get publishing access to all social accounts available and all their settings.

NOTE: There can only be **one** designated Client Admin (super user) and this role should not be given to any user other than the overseer of the entire account.

If the user is not meant to be an Admin, simply ignore the "Additonal Roles" section and only check the circles for the corresponding social account(s) the user should have access to.

The permission levels are defined as:

**View** - a view only option, the user can see the social account, the content, and the reporting but cannot publish

**View/Publish** - the user can see and publish content for a specific social account

**View/Publish/Settings** - the user can see, publish and modify settings for a specific social account

**View/Publish/Settings/Users** - the user can see, publish, modify settings and add new users to that specific social account

Once finished, go to the bottom of the page, and click on **Send invite**.

## What happens after you send the invite

* The new user receives an email from SocialFlow with a time-sensitive link inviting them to log in and set their password.

* They are required to enter a mobile number to verify their identity for future password resets.

## Manage existing users

From the **Users and Permissions** page, you can also manage existing accounts without help from Piano Support.

To activate or deactivate a user, edit their profile and check or uncheck the **Active** checkbox. This controls whether the user can log in.

# How to Reauthorize a Social Account

A social account can lose authorization for a few of reasons:

* The user who authorized the account has had their permission levels changed on the social network.

* The user who authorized the account changed their personal Facebook password or the social network account password was changed.

* Facebook or the social network ran a general rolling de-auth process across their platform to mitigate spam accounts wrongfully using third parties. This rarely happens but does happen.

Note: Linkedin and Threads both require reauthorization every 60 days as a general rule.

In order to successfully reauthorize your social accounts, you MUST be an admin in Socialflow and have the proper permissions to the social account.

Then navigate to Settings / Application / Social Accounts and click either the Reauthorize button or the circular arrow to the right of the affected social account to trigger the reauthorization process. You'll see a prompt pop up that should guide you.

**Having Trouble?**

Often, with Facebook in particular, the last authorized FB Page will be stored as the only social account available to reauthorize. If you see an "Edit Settings" button on the first Facebook pop up window, you can click that to reset the list of available social accounts to reauthorize and find the page you are trying to reauth.

# How to Use Templates for RSS feeds

Templates determine what Socialflow pulls in from your RSS feed and in what format, which will determine how your social post looks. The default is for us to pull the title of the article and the link, but you may want more descriptive text for example.

Here are the steps for editing your template.

Go to *Settings → Application → Content Sources*and select the corresponding content source (RSS feed) you wish to edit.

Then scroll down to the **Templates** section:

Here you can edit the template you are using, and select the desired template from the drop-down list:

A common use case for changing the template is to use the "deck" or article's meta description as the social message, instead of the title.

One of the following templates could work for you:

* \[scrape:og:description\] 0r \[scrape:og:description\]\[link\]

* \[summary\] 0r \[summary\]\[link\]

The `[summary]` template will only pull the description text IF there is both a "content:body" and "description" field in the RSS feed itself.

Remember, X and Threads both need the link in the post text in order to work, so always choose a template that includes \[link\] in that case.

Facebook will keep the link clickable underneath the post even if you don't explicitly have it in the post text, so it is not required to have \[link\] in your template unless you want fans to see the URL.

**Advanced Tip**

If you add your RSS feed to Socialflow over again as if it were a new feed, you can use the preview option in that workflow to see what templates will work for your desired results. Then do not add the feed, simply cancel the action and go edit the existing feed settings.

1. Go to *Settings → Application → Content Sources*

2. Enter the feed URL into the box and click Next

3. Click Template

4. Select different templates from the dropdown

5. Discontinue adding the feed, navigate elsewhere and come back to edit the current feed

# Socialflow - Add Content to Your Queue

## RSS Feeds

RSS feeds can be added into Socialflow allowing you to automatically import content from your website, blog or WordPress or anywhere else, directly into your Queue.

All you need is the RSS feed URL to paste into Socialflow, and our system will continually populate your queue with the latest content from that feed.

There are many feed settings that allow you to automate publishing either sending content immediately (great for breaking news) or at the optimal time. You can also have the feed bring content in on "Hold" so you have plenty of time to review and edit posts or tweetsbefore they publish. ## Batch Import

Using our Message Template (a preformatted Excel file) you can import dozens or even hundreds of messages directly into Socialflow with the social copy, link, custom metadata (optional) and even photo or video by URL. You can download the latest version of our Message Template [here](https://app.socialflow.com/static/misc/message_template.xlsx).

## Manually Compose

Add posts or tweets anytime using our Compose Box. The Compose Box icon can be found in the upper right corner:

Compose offers many of the same features as publishing directly to the social networks.

First, notice that on the left you have a list of all of your available social accounts. You can multi-select social accounts here by individual or group to create the same content for more than one account at a time.

\***Note**: Twitter/X has a rule against sending the same content to multiple X accounts at a time, however you can select multiple X handles and put that content on Hold. You can easily select multple Facebook pages or Linkedin pages, etc. Or a combination of Facebook and Linkedin and so on.

As you select different social networks, you will see different buttons and icons grey out or disappear, since not all features are available for all social networks.

### Compose Box Features

**Selecting an Account**: Select a social media account or accounts from the menu on the left inthe Compose Box. A check mark will appear next to each selected account.

*Note: The character counters associated with social platforms will automatically track the* *number of characters in your message in the lower right-hand side of the Compose screen. If* *you go over the limit, your message will not post.*

**Entering a link**: If you add in a link, be sure to use the full version of the link, including http:// atthe beginning. This way our system will recognize the link and shorten it for you. We have ourown link shortening service built in, called Tribal and we also support Bitly and custom shortdomains.

*Note*: For Facebook, you can remove the URL from the post copy at the top of the Compose box, after we've pulled in the link information at the bottom, and it will publish as expected.

**Tracking Tags**: Once you add a URL in Compose, you will see the option to add tracking tags.

When you open the tracking tags option, you'll see several tracking services to choose fromincluding Google Analytics.

You can also label and save a set of tracking here to re-use easily.

***Pro Tip*** *: You also have the option to append tracking tags to all of your links automatically by entering tracking tags in the social account settings.* *Navigate to Settings\>Application\>Social Accounts and click the pencil icon to find these settings.*

### Compose Box Icons \& Functions

Photos \& Videos: Upload photos or videos to accompany your content by using our simple upload feature, available by selecting the image icon or dragging your media into the compose box.

***Pro Tip*** *: You can use the image icon to upload up to 5 images automatically creating a carousel post on Facebook. You can upload up to 4 images to create the grid photo design on 𝕏 or upload a single photo, video, or multi-media carousel for Instagram.*

*See exact media specifications for each social network in the chart below.*

**Facebook Branded Content**: This handshake icon will allow you to tag a partner or sponsor in your post in the approved Facebook format.

**Labels**: Labels help organize your messages into categories for reporting or to easily find later. Labels are not published with your message and can only be seen by you and Socialflow users accessing this account.

**Facebook Targeting** (Preferred Audiences \& Audience Restrictions): The target symbol below the text field will allow you to choose targeting for your Facebook content. You can target Interests or Pages under the Preferred Audience tab and geotarget or set a minimum age target under the Audience Restrictions tab.

*Note: 𝕏 will allow some organic geotargeting IF you have an ads account with 𝕏*

**Facebook Video Settings**: This is an additional icon that only appears when a video fileis attached for Facebook. It includes options such as allowing a video to be available forcross posting, adding Video Tags and using or creating video playlists.

**𝕏 Studio (Video) Settings**: If you are already using 𝕏 Studio, you will see this icon when a video is uploaded. It opens a window for metadata options and the ability to monetize videos depending on your level of access with 𝕏 Studio. Having this integration also allows our TW Studio users to upload videos up to 10 minutes in length.

**Unpublished Page Posts**: This feature creates a hidden post not visible to your audience and only accessible by direct URL. These are often used in conjunction with an ads campaign.Facebook Preview: This allows you to see how the post will look once it publishes to either desktop or mobile.

**Favoriting Accounts Feature**: You can now star or favorite the social accounts you publish to most often in the Compose box. Simply hold down the SHIFT key on your keyboard to add the star icon.

These accounts will always be at the top of the list when you open the compose box. You canunstar them if you need to by holding the SHIFT key and clicking the account again.

## Publishing Options

Once you have filled out the Compose box, there are different publishing options and priority level settings you can use to control your publishing.

* Optimize

* Publish Now

* Schedule

* Hold

1. **Optimize** : this means that Socialflow's algorithm will determine the exact timing for publishing the post based on your audience's availability and topical interest to maximize engagement. However, you can enter a window of time in which you would prefer to publish the post (e.g., between 2pm and 6pm). You can also set a priority level on the message in the form of Can Send or Must Send.

* **Can Send** - this is considered low priority and best for more evergreen content. Our system will look for the best time to publish the message, but in the event that we don't see an optimal time or if you have too many messages competing to send, the system may choose to *expire* this lower priority message and send a more relevant message instead for better engagement.

  *Note*: We recommend using Can Send on as much content as possible with longer time windows. Longer time periods mean more opportunity to find the right time to publish. However, Expired content is not deleted, it's simply moved from the queue to the Expired Column on the Listen page where you can choose to send back to the queue for another chance at publishing.

* **Must Send** - this is considered high priority and great for time sensitive content. Our system will look for the optimal time, but even if no optimal time is available in the window, our system will make sure the message is published by the end of the time window, no matter what.

  *Note*: We recommend using Must Send sparingly and for short time windows. There is a risk with using Must Send that multiple messages can go out at the same time, IF the end of the time window is the same for multiple messages. For example, if 6 posts are all set to Must Send by 5pm, 2 or 3 could send at 5pm if there is not enough time in the day or too much content to possibly spread them out.

* **Publish** : Time-sensitive messages or breaking news can be sent out immediately.

* **Schedule** : For messages that need to go out at a specific date and time. We also offer a Schedule Multiple feature, allowing you to schedule the same post for multiple dates and times in one window.

* **Hold** : If you're not ready to publish a message, you can place it on Hold. Hold items wait in the queue for further editing and cannot publish. You will need to change the message to **Optimize** , **Publish** , or **Schedule** when you're ready to publish it.

  *Note* : Hold items can also expire if needed. You can set the **Expire At** date to make sure content doesn't wait around in the queue forever.

## Queue Options

Once you've added messages to your queue pictured here on the left, there are editing and customization optionsavailable.

When you click on Options, you'll see the following in a menu:

**Quick Edit**: Allows you to quickly edit only the time window of the message or the publishing status, i.e. Optimized, Scheduled Or Hold.

**Quick Duplicate**: Quickly duplicates the message into the queue with the same text, copy, image or media but also opens a small window to add a different time frame and/or publishing status.

**Edit**: Opens the message in the Compose box where you can edit the copy, the image or media if any, and the timing and publishing status.

**Duplicate**: Once you click Edit, you'll see you can duplicate content you want to send more than once. When you click Duplicate, it opens in the Compose box. This is useful for creating a new version of the same post or tweet for publishing later.

You'll also notice the Pause Reordering button on the upper right of the queue.

**Pause Reordering**: Since your content will be scored and ranked continually throughout the day, with your most relevant content always floating to the top by default, you can pause this action in order to focus on specific content when needed.

**Searching \& Filtering** : By selecting filter in the queue, you can sort the content which is normally in **score** order by other criteria: Statuses, Sources (RSS feed name or bulk import file name), and most often used, the "Sort By" dropdown for date order.

If you prefer to have your content always sorted by Date for example, you use the Label \& Save option to make that sort order your default every time you log in to Socialflow.

Here's how:

1. Navigate to the top of your Queue

2. Click on the **+** icon next to **Filter**.

3. These choose one of the following:

   * **Sort By**: Allows you to sort content by optimized date, scheduled date, creation date, expiration date or score (the default).

   * **Search**: Used to look for a particular keyword or phrase.

   * **Sources**: Shows which content source the content came from. You can isolate one feed or source at a time to view only those pieces of content.

   * **Statuses**: Groups the content based on how it is set to send out i.e.: Optimized, Schedule, or Hold. You can click the boxes at the top of the queue to filter these from view.

4. Click "Label and save these filter options for later..." and give this sort a name

**Pro Tip** : You can also batch select using the checkbox next to **Set To** to change messages to optimize, hold, or even delete.

### What to do when you have a social emergency...Pause Publishing

You can pause all publishing for a social account as needed. We made this possible for rare cases such as:

* Breaking news and world events when you need to exercise extreme discretion about what you publish

* Live publishing when all posts should be specific to the event taking place and you don't want any interference from optimized or scheduled content

### How Do I Pause Publishing?

There are two ways to pause publishing:

1. Navigate to Settings \> Application \> Social Accounts. Click the pencil icon next to the social account you want to pause. Under the **Publishing Limits** section you will find the button at the bottom right that says **Pause publishing from queue**.

2. A faster way to pause publishing is to click the gear icon near the top of your **Queue** on the **Publish** page. This is a short cut to the settings page for that specific social account. You can then pause publishing as you would above.

*Note: Only admins in Socialflow can pause publishing.*

### What Happens When I Pause Publishing?

* Content from your queue will stop publishing and there will be a screen overlay on the queue to ensure any team member who logs in will be informed.

* All optimized and scheduled messages from any source, added manually or from feeds, with any publish setting will NOT be sent. As long as your queue is paused, all messages that are supposed to publish during that paused time, will be marked as 'Failed.'

* You can still create a message and publish it immediately from the Compose box, if needed while the queue is on pause.

* Once you resume regular queue publishing, the messages that failed to publish will appear in red at the top of your queue. You will need to edit the status of each message in order for them to be considered again for publishing or you may delete them.

## Published messages

As well as customizable options for scheduled and upcoming content, there are also ways to make the most of the messages you've already published.

### Searching for Published Content

Using the Filter drop down, you can access search options like Classic Search (or the default search) as well as enhanced search options like Post Editor, Link, or Label. Here is a complete list of options:

* Post Message

* Post Title

* Post Description

* Link

* Post Editor (email address of a user who edited the post

* Post Publisher (email address of the user who published the post)

* Post Creator (email address of the user who created the post)

* Label

* Post Type (video, link, or text posts)

* Published Status

* IAB Content Category (Category of linked-to content by IAB categorization)

* Media Topics Category (Category of linked-to content by Media Topics categorization)

* Keywords (keywords from the linked-to content)

* Service Message ID

## Amplifying Content

The Amplify button will appear on all of your published messages on the main Publish page. This button may display in orange any time a message is performing above average in terms of

engagement. You can click the amplify button to connect your ads account and boost or promote the post, adding budget in order for the message to reach a larger audience.

## Recycling Content

You might want to put evergreen content or content that has performed well back in your Queue.

Here's how:

1. Navigate to: Publish Page and view your Messages Published Timeline

2. Click the expand button on the piece of content in your Timeline, then click the recycle icon to create a duplicate version back in the Compose box.

Likewise, you can duplicate from the queue by clicking Options. This will place a copy of the message back in the compose box and you can send the message out again or from a different social account.

You can also recycle in bulk by using the Filter drop down and selecting multiple messages. Please note, because of 𝕏's new policy, you will not be able to recycle tweets to another 𝕏 handle in bulk.

# Socialflow - Adding an RSS Feed

After you've added your social accounts into the platform, you can begin to add content. One way to get content into your Queue easily is to install an RSS feed, which would then be called a Content Source in SocialFlow.

## Why Use RSS

By plugging in your RSS feed(s), your queue will always have your most up-to-date content from your website. You can spend less time looking for content to send out to social networks; just scroll through the queue or search for particular topics to find the content waiting for you.  
There are no limits to the number of RSS feeds you can use in SocialFlow. It's helpful to have feeds separated into categories in order to treat and customize the content differently.

## How RSS Works

Once your RSS feed is installed into SocialFlow, the system will automatically get new content from your website via this feed. The content goes into your social account's queue on the Publish page in SocialFlow, ready for you to review and publish.

### RSS Specifications

SocialFlow supports the RSS 2.0 specification. The following fields are read from your RSS feed:  

|   **RSS Field**   |                                   **How SocialFlow Uses It**                                    |
|-------------------|-------------------------------------------------------------------------------------------------|
| `title`           | Used as the default message text in your queue                                                  |
| `link`            | The URL of the article, included in the social post                                             |
| `content:encoded` | Full article content; used by the Content template. Falls back to `description` if not present. |
| `description`     | Article summary; used by the Summary template. Also used as fallback for `content:encoded`.     |
| `author`          | Author name; available as a template field                                                      |
| `category`        | Used for applying labels to content in SocialFlow                                               |
| `guid`            | Unique identifier; ensures the same article is not imported twice                               |
| `pubDate`         | Publication date of the article (used for chronological ordering)                               |

### MRSS (Media RSS) Feeds

MRSS feeds work just like RSS feeds but are specific to video content. MRSS feeds can populate queues with videos that are then published to Facebook or X (formerly Twitter) according to your feed rules. This is a great way to automate and scale delivery of video from your CMS to social channels without downloading and re-uploading videos one by one.

SocialFlow supports the Media-RSS specification and relies primarily on the following fields:

* **Media:content** --- the video file URL

* **Media:thumbnail** --- the thumbnail image for the video

To add an MRSS feed, follow the same steps as adding a standard RSS feed, simply provide the MRSS feed URL instead.

## Adding a Content Source

You can either navigate to **Settings** / **Application** / **Content Sources** or use the quick shortcut from the Publish Page.

To add a new content source:

1. Click the **Add Feed** button.

2. Choose where the content is coming from:

   * **Feed** --- Choose Feed to enter a URL for an RSS Feed.

   * **File** --- In addition to RSS feeds, you also have the option to upload content using an Excel spreadsheet file. Just download our [Message Template](https://app.socialflow.com/static/misc/message_template.xlsx) and enter content into the spreadsheet following the header guidelines. Then choose the File option to upload it for a specific social account.

   * **Copy an Existing Feed** --- Choose this to copy from a previously added feed.

* **Select Account** --- Using this drop-down list you can select which social account the feed will be added to.

* **Posting Timeline** --- Using the drop-down list you can select which feed entries are imported when the feed is added:

  * **Post Most Recent Item:** adds your most recently posted article into the Queue and everything after.

  * **Post Next New Item:** waits until the next article is published, adds that entry to your Queue and everything after.

  * **Add All Existing Items:** adds the last 10-20 articles available on the first page of your feed.

* **Add RSS Feed** --- will add the RSS feed applying all the default settings.

* **Add \& Customize** --- will allow you to fine-tune the feed settings before it is made Active (recommended!).

# Socialflow - Adding Apple News for Reporting

You no longer have to log into Apple's separate dashboard to see how your content is performing - you can add your Apple News account to Socialflow and see the reporting alongside your other social accounts.

There are 3 requirements to add Apple News:

* You have admin rights in Socialflow

* You have admin rights to the Apple News channel

* You have social handles available on your Socialflow account

If you have those requirements met, you can complete these steps to auth in the channel:

Head to Settings → Application → Social Accounts → Click Add Social Account → Select Apple News

In the OAuth pop-up, add Channel ID, Key ID, and Secret and click submit.

To find your credentials, log into <https://www.icloud.com/#newspublisher> and Navigate to Settings \> Connect CMS. Then click on the 'API Key' link.

You must be an Administrator of the channel to find the necessary credentials. If you reset the API Key, a new key will be generated. Any platforms using the old API Key will need to be reauthorized.

# Socialflow - Adding Columns to the Listen View

To streamline workflow, SocialFlow has added columns to the **Listen** tab. Adding **Retweets** , **Mentions** , and **Custom** columns next to your live stream will help you manage all of your social media updates in one place.

The listen column will have default views for the applications added to your SocialFlow account.

**Note -** You can use the Custom View option to create additional views for any social service added to your SocialFlow account.

In any view, you will see a column labeled Create a New Column. From here you can add columns to the views.

**Note -** Listen view columns are limited to 10.

Columns you can add:

For Twitter:

* **List:**This column allows you to add columns from your existing Twitter Lists

* **Live Stream:**This option will create a live stream of your Twitter timeline

* **Search:**Allows you to create a column for custom search terms

* **Mentions:**Displays all mentions of your handle or social account

* **Retweets**: Displays all Retweets of your content

* **Direct Messages**: Displays your Direct Message inbox

* **Expired**: Allows you to view tweets that expired from your Publishing queue

For Facebook:

* **Timeline:** This option will create a live stream of your Facebook timeline

* **Page Search:** Allows you to create a column for a specific Facebook page

* **Unpublished Page Posts:** This is a list of your posts you have not published

* **Expired:** Allows you to view messages that expired from your Publishing queue

For LinkedIn:

* **Timeline:**Creates a column of your published messages

* **Company:** Creates a column of a Company's LinkedIn page

* **Expired:** Allows you to view messages that expired from your Publishing queue

For Instagram:

* **Timeline:** Creates a column of your published photos

* **Hashtag Search:** Creates a column for hashtag search results

* **User Search:** Creates a column for user search results

For Pinterest:

* **Boards:** Creates a column for one of your existing boards

* **Pins By Domain:**Creates a column using the pin domains

# Socialflow - Adding Google Analytics to Socialflow

Our real-time Google Analytics integration allows you to see and sort your top-performing content based on Visitors stats. Then you can easily recycle, duplicate, or cross-post from there.

## How Do I Activate This?

Socialflow Admins can add Google Analytics accounts by navigating to Settings → Application → Social Accounts, and clicking "Helper App Accounts" on the bottom right corner:

## Visitors on Messages Page

After Google Analytics is added, the Messages page in Reports will show a sortable "Visitors" column.

These visitors come from Google Analytics' real-time API. This lets you see which posts are currently generating the most traffic and quickly take action such as recycling or sending to another page.

## Additional Audience Page

Once GA is added, an Audience page will appear under the Reports tab. The Audience page shows all webpages for your domain(s) sortable by real-time unique visitors. This view also shows if the webpage's URL is currently in the queue for one or more of your social accounts, or if it has already been published to one or more of your social accounts via Socialflow.

If a webpage is generating high traffic and has not been published to a social network, reach and referrals can easily be extended by publishing to one or more social accounts from here. Similarly, high-performing posts can easily be crossposted to other accounts for a traffic boost.

# Socialflow - Adding Social Accounts

A social account can be added to Socialflow at any time, as long as you have room in your account. You'll notice there is an account limit noted at the top of the Settings / Application / Social Accounts page.

If you do not have room or if you need any assistance with the steps below, contact support at [support@piano.io](mailto:support@piano.io) or your Client Success Manager.

Currently supported social networks:

* Facebook

* Instagram

* Twitter/X

* Pinterest

* LinkedIn

* Apple News (for reporting only)

Requirements for adding a social account:

1. You are the Client Admin or an Account Admin in Socialflow.

2. You have permissions to the social account:

   * "Full Control" permissions to manage the FB page on Facebook

   * Login credentials of the Twitter/X account

   * Login credentials of the Pinterest account

   * Admin rights to the LinkedIn page

   * Admin rights to the Apple News account + channel credentials: Channel ID, Key ID, and Secret

Meta requires that the Instagram account is set as a Business profile and is connected to the corresponding FB page. As long as those requirements are met, you can add Instagram with your Facebook permissions.

If you have those requirements met, you can complete these steps to add the social account:

1. Navigate to Settings → Application → Social Accounts

2. Click '**Add Social Account**'

3. Select the social network

4. Follow the prompts in the pop up windows

Meta allows you to add multiple Facebook pages and Instagram accounts in one step.

# Socialflow - Creating A Downloadable Report

The Downloadable Reports section is where you can pull in-depth reporting for social accounts. In this section, you can generate and export reports into Excel files, allowing you to review and produce charts as needed.

First, navigate to the section by going to Reports → Downloadable Reports.

To generate an organic downloadable report, click 'Create Report' to open up your options.

The first two report options are message-based, providing you with all of the messages published for your social accounts and all of the metrics we offer through our platform, including our click data, engagement numbers, Facebook video stats, targeting, and more.

The final three reports are time-based, providing you with the totals and averages per metrics available through SocialFlow. We have reports available in monthly, weekly, and daily intervals. Each interval also displays the percentage change from the previous interval.

**Message Report -- pull all messages published per social account**

1. Select all of the social accounts you'd like to pull the reports for.

2. Set your timeframe.

3. Give it a name (optional).

4. Check off 'Include External Messages' if you'd like to see all content, including messages published outside of SocialFlow.

   *Note: External messages will not include SocialFlow click data.*
5. Generate XLS report.

**Label Report -- pull all messages associated with labels created in SocialFlow**

1. Select all of the labels you'd like to pull the reports for.

2. Set your timeframe.

3. Give it a name (optional).

4. Generate XLS report.

**Month over Month/Week over Week/Day over Day Reports**

1. Select all of the social accounts you'd like to pull the reports for.

2. Set your timeframe.

3. Give it a name (optional).

4. Generate XLS report.

After each request, a new line item will show up at the top of the list. You can track the progress of the report generation, and upon completion, you can click on the X to download the report to your computer.

# Socialflow - Dashboard Report

The Dashboard is a high-level reporting tool that displays analytics in customized time frames. The dashboard highlights key performance indicators by social account, service, or custom groups.

## Account and Time-Frame Bar

The Dashboard displays data visualizations based on the account and dates selected in this bar.

The Account Picker

* Click the service logo to toggle all accounts in that service

* Click the number next to the service to toggle individual accounts from that service

* More Options dropdown will allow you to select account groups

  * **Note:** Accounts Groups are managed on the Applications page in Settings.

The Date Picker

* The presets give you a quick way to jump to a default time period that ends with the current date

* The Calendar icon will allow you to set custom time frames

Your Content Queue stores content that is waiting to be published. You can add to your queue via RSS or other feeds. Messages in your queue may be *optimized* to publish when their AttentionScore™ reaches an ideal threshold; on *hold* waiting for further action, or *scheduled* to publish at a specific time. You can also compose and send messages right away.

# Socialflow - Data Erasure Requests

Socialflow works with publishers and media companies to help power their social content. During the normal flow of user engagement with our customer content on social networks like Facebook, Twitter/X, Instagram, Threads, Pinterest and LinkedIn, some data about the engagement is recorded. This data IS NOT associated with an email address/name, so you would need to take the steps outlined below to opt-out from this type of data collection.

# Socialflow - Day Parting In Detail

Day Parting is an advanced version of our regular Publishing Limits, allowing you to create different rules for different times of the day and week, whereas Publishing Limits only allow a general set of rules that apply all day, every day.

A few important notes on how Day Parting works:

* Socialflow's Day Parting system only affects posts that are published via Socialflow. If you are posting directly via a social network's interface or through another software, your Day Parting schedule won't have any effect on those posts.

* All posts, including Optimized Must Send/Can Send, Publish Now and Scheduled are considered when calculating the number and frequency of messages so that the system can adhere to the Day Parting rules.

  * For example: if you have a Max of 10 Messages for a 2-hour window of time, and you send 3 messages manually from the queue as Publish Now, and enter 4 as must send into the queue for that same 2-hour window, you now only have room for 3 optimized can sends or 3 scheduled messages to send during that 2-hour window.

* When there are no Day Parting windows filled in on the Schedules tab, the social account will default back to regular Publishing Limits for the Social Account.

* If you haven't specified any Publishing Limits, the social account will use whatever settings are applied to the individual messages.

## How to configure Day Parting:

### **First, create a rule set.**

1. Navigate to Settings / Application / Day Parting

2. Click on Rule Sets in the center of the page.

3. Click on the Create a Rule Set button

4. Give the Rule Set a name on the upper left

5. Then enter values for any or all of the following rules:

   * Max Messages Per Ruleset

   * Max Messages Per Hour

   * Minimum Message Interval

   * Max Minutes Between Messages

6. Click Save on the lower right

Once the Rule Set has been created, click over to Schedules and select the social account on the upper left.

Click a start time on the calendar and fill in the details in the rule set pop up module, including how long these rules should apply. If you are applying a rule set to the entire day, you can click the top of any day column to apply it to the full day.

**FAQ's**

#### **How do I edit/delete a rule set?**

To Edit or Delete a rule set you first need to select it from the rule set dropdown menu in the upper left:

After the rule set is selected you will have the option to edit any cadence settings and the option to delete the rule set as well.

#### **Why can't I delete a rule set?**

If you are unable to delete a ruleset, it is likely due to the rule set being used on another account. You are not able to delete rule sets that are being used by an account you do not have access to.

#### **Can I pause rule sets that affect Optimized messages without pausing all of my rule sets?**

If you want to prevent all optimized posts from publishing, click "Pause Optimized Publishing." Then you'll probably want to name the rule set with a clear label (i.e. "Hold Optimized Publishing" or "Out to Lunch"). Note: that any messages set to Optimized Must Send, Publish Now, or Scheduled will still go out at the time they need to.

#### **How do I know which users can manage Day Parting rule sets?**

Any user with permission to edit settings at a social account level can create, delete, or edit rule sets for those accounts as long as they are not being used by a social account they do not have access to.

#### **What if a major event, or holiday, requires me to change the day parting rules for a specific week?**

You cannot create Day Parting rule sets for specific future dates. If there is a major event or holiday, that needs a different rule set for the week, that change would have to be made the week of.

As an admin, you can edit the settings of individual social accounts. When on the Publish page for your social account, click on the gear above the queue to jump into the Account Settings page.

## Active Content Sources

### Link Shortener

This section gives you a snapshot of the link shorteners. Here you will also have the option to add an existing shortener or add a new link shortener.

**Add Link Shortener**will direct you to the Link Shortener settings. From this page, you can choose to 'Add Link Shortener'.

**Service**- Allows you to use a default link-shortening service

**Domain**- Allows you to set a custom domain for your shortener

**Username**- This is your username on the link-shortening service

**API Key**- If you are using a service, you will need to provide the API Key

*Note: If using bit.ly service, you can find your API Key in the 'Account Settings'*

**Associated Social Account**- This drop-down will let you choose which account will use the selected shortener

Make sure that you click "Save" after adding the details.

### Messages

**Limit Duplication:**

This setting stops duplicate content from importing to SocialFlow via content sources. To avoid unintentional duplicate stories coming into the queue, SocialFlow will filter duplicates by link, title, or either option. This function can also be turned off.

Notes:

* This option is designed for content sources only (automated content). It will not filter out duplicate content that is user-generated.

* If you remove a content source and re-add the same content source, all pre-existing content will be filtered out according to the settings in this option. If you'd like to see all content imported again, please turn off the duplication option prior to re-adding the content source.

#### Convert all link posts to image posts (Twitter only):

This option allows the compose box to scrape the link for an image to include with a social message on Twitter. If this is enabled, we will scrape an image when posting the message and add it to the post. When this function is disabled, SocialFlow will not scrape for images. Twitter will use any available Twitter cards. You can read more about Twitter cards [here](https://dev.twitter.com/cards/overview).

### Publishing Limits

This setting works the same as setting publishing limits from the Settings page. You can read more about publishing limits in our [Setting Publishing Limits](https://docs.piano.io/amplifier/socialflow-setting-publishing-limits.md) article.

### Tracking Tags

You can set unique tracking tags per social account under SocialFlow. All links published through SocialFlow per account will automatically have set tags appended once clicked on, to work with Google Analytics or Omniture.

**Google Analytics**- The key field is pre-populated and all you need to do is add values for each field you would like to use.

**Omniture** - The key and value fields are left blank, allowing you to set your own individual tags as needed. You can also click on the +Add to include additional tags.

# Socialflow - Editing Facebook Metadata - Claiming Your Web Domain

Facebook limited the ability to "modify link previews" (see <https://trib.al/1LQpxN5>) as part of their efforts to reduce the spread of misinformation or fake news. As a result, publishers must establish domain ownership with Facebook to continue editing metadata (title, image, description) when sharing links through SocialFlow.

## Why This Matters

When SocialFlow publishes a Facebook post with a link, Facebook scrapes the URL and generates a link preview based on the page's metadata. If Facebook doesn't recognize your organization as the domain owner:

* Facebook may ignore or override metadata edits and revert to what it originally scraped.

* SocialFlow may display link ownership-related warnings or errors when connecting pages or publishing.

* If multiple Facebook Business accounts publish for the same Facebook handle, verification by one account can prevent other accounts from editing metadata for that same domain.

*Note: In many cases, domain verification is not required just to publish a link, but it* ***is*** *required to edit and reliably apply link metadata (title/image/description) when posting to Facebook.*

### What Changed

If you do not take the steps explained below, you will no longer be able to edit the metadata associated with Facebook posts.

### Prerequisites

* Admin access to the relevant Facebook Business Manager (to verify/claim the domain).

* Admin (or sufficient) permissions in SocialFlow to access domain verification settings.

## What You Need to Do - Option 1

As a publisher, you need to "claim" your domain(s) with Facebook, so that you can continue editing metadata when you share your own articles or pages. For example, SocialFlow would claim ownership of [www.socialflow.com](http://www.socialflow.com/), allowing Facebook to create an association between that website and our Facebook page at [www.facebook.com/socialflow](http://www.facebook.com/socialflow).

Here are complete instructions for claiming link ownership on Facebook:

### To indicate "ownership" between a Page and a domain, a Facebook Page Admin must follow these steps:

1. Go to your Facebook Page and click Publishing Tools. In the left-hand column, click the tab that says "Link Ownership".

2. Find the "Authorize Page" section in the middle of the page and follow the directions to highlight and copy the Open Graph markup tag shown (this is the tag that says `<meta property="fb:pages" content="########" />`).

3. *(You will need to coordinate with your website's webmaster for this step)* Open your Content Management System (CMS) and input the tag in the `<head>` tag of your website's HTML. *Note: Your site configuration and how you would like to grant editing access may vary. If you would like to only grant link post modification access for specific sections of your website, you will need to choose where in your code you would like to indicate Page(s) have access for editing (i.e. if a Page should only have link post modification access to the sports section of your website, you should find the section of code that controls only this section).*

4. Paste the Open Graph markup tag that you copied from Publishing Tools into this section of your code. After this step, the code has now authorized the Facebook Page to modify metadata of page posts that link to this website. *Note: To authorize multiple Facebook Pages for one website domain, copy and paste into your code Open Graph markup tags from each of the Pages you would like to grant link ownership. To be able to modify links from multiple domains, a Page's Open Graph markup tag must be pasted in each website's code. The code will look something like this:*

### To verify that you have successfully enabled link post modification for a Page, follow these steps:

1. In Publishing Tools on your Page, find the section labeled "Verify," and follow the directions to fill the open field with the domain you expect to have link ownership with.

2. Click the "Verify URL" button.

3. If you have successfully enabled link post editing for your Page, a green checkmark will confirm your site is connected to your Page. If your Page has not successfully connected with your website, a red box will indicate you need to reconfirm the link ownership steps.

4. If you added multiple Pages' Open Graph markup tags to your website, you can use the Facebook [Share Debugger](https://developers.facebook.com/tools/debug/) to verify that the Facebook crawler is scraping all the tags that you added.

If your page does not have a Link Ownership tab in the Publishing Tools, you will need to contact your Facebook account representative to request access.

## What You Need to Do - Option 2

The other option is to do domain verification via Facebook Business Manager. This is recommended for larger enterprise organizations.

### Step 1 --- Verify your domain in Facebook Business Manager

1. In Facebook Business Manager, go to **Brand Safety → Domains**.

2. Add your domain (for example, *example.com*).

3. Complete verification using one of Facebook's supported methods:

   * DNS TXT record

   * HTML file upload

   * Meta tag added to your homepage

### Step 2 --- Add the verified domain to SocialFlow

After Facebook shows the domain as verified/claimed, add it in SocialFlow:

1. In SocialFlow, go to **Settings → Application → Domain Verification**.

2. Select **Verify New Domain**.

3. Enter your domain and save.

*Note: Some configurations require entering the domain including the protocol (for example, http://example.com). If you see validation issues, try including http:// as required by your SocialFlow domain entry form.*

### Step 3 --- Refresh and confirm Facebook page associations

If you recently verified or connected the domain on Facebook:

1. Have an organization admin refresh the domain in SocialFlow from the Domain Verification area.

2. Return to the SocialFlow compose experience and confirm:

   * The correct Facebook Pages are available/associated.

   * No link ownership or domain verification errors appear.

*Note: If one Business account verifies/claims the domain, it can limit other Business accounts' ability to edit metadata for that domain. Plan domain ownership workflows so the account that needs to manage link metadata is the one that verifies the domain.*

## Troubleshooting

**Metadata (image/headline/description) doesn't match what you set in SocialFlow**

*Cause:* Facebook is using scraped metadata because the domain is not verified/recognized for link ownership.

*Fix:* Verify the domain in Facebook Business Manager and add it to SocialFlow (Steps 1--2 above). If you recently changed metadata, allow time for Facebook to refresh its cache.

**"Link Ownership" errors when adding a Facebook Page or publishing**

*Cause:* Domain not verified in Facebook and/or not added in SocialFlow.

*Fix:* Confirm the domain is verified in Facebook Business Manager, then check **Settings → Application → Domain Verification** in SocialFlow.

### Where to Check Status in SocialFlow

To review or troubleshoot domain verification in SocialFlow, go to **Settings → Application → Domain Verification**.

*If you do not see these settings, your user role likely lacks the required permissions --- contact your SocialFlow admin.*

# Socialflow - Editing User Account Settings

## Navigate to Settings → User Account and you will land on the User Account Settings page.

In the top section of this page, you can edit your name, email address, and password, as well as confirm your mobile number (which we can use to send you a code that will allow you to access your account should you get locked out).

This section will also allow you to edit the language and time zone for your PERSONAL SocialFlow account.

There are also some security options in this section. You will have the ability to enable or disable 2-Step Verification, generate 2-factor backup codes (which can also be used if you are locked out of your account), and enable or disable logging in with SocialFlow credentials. You can also link your Google account.

### Subscriptions

The middle section of this page will feature email subscriptions to which you can opt-in and out.

You can choose to receive emails when a post does particularly well and is recommended for promotion, for messages that fail to publish, for when messages do publish, etc., as well as opt in to receiving weekly progress reports from the platform.  
These subscriptions will apply to ALL publishing accounts to which you have access.

### Client Accounts

The bottom section of this page displays the publishing accounts within SocialFlow to which you have access. If you have access to more than one account, you can choose a default client by selecting one from the dropdown list at the top of this section.

Your default client will be the account that automatically appears when you first log into the platform, but you will still be able to toggle among all of the other clients you have access to.

# Socialflow - Enhanced Search

Enhanced Search offers ways to find specific content so you can more easily find, recycle, or delete your posts. This feature is available above the Messages Published column on the Publish page, as well as on the Reports / Messages page.

## What criteria can Enhanced Search use to find my posts?

Enhanced Search can search against the following criteria:

* Post Message

* Post Title

* Post Description

* Link (ie, link to the content)

* Post Editor (email address of Post Editor)

* Post Publisher (email address of the user who published the post)

* Post Creator (email address of the user who created the post)

* Label

* Post Type (video, link, or text posts)

* Published Status

* IAB Content Category (Category of linked-to content as per IAB categorization)

* MediaTopics Category (Category of linked-to content as per MediaTopics categorization)

* Keywords (keywords from the linked-to content)

* Service Message ID

If you don't choose a specific search option (ie, post title, label, etc), you can simply hit return and by default, you will search against terms in the Post Message, Post Title, Post Description and Keywords.

### How can I choose which options to search against?

As you type in the search box, suggested search options will be intelligently shown.

For example, if you type an email address, the search types that use emails (Post Editor, Post Publisher and Post Creator) will appear. Click on the particular option you're interested in, and the search will run accordingly.

Or if you type a word that is part of a content category, those categories that include that term will appear below for you to refine your search. Click on the category of interest and all the posts in that category will be returned.

If you don't see the option you'd like, press **Show All Options** and all potential search options will be made available for you to choose. Conversely, if there are too many possibilities, click on **Show Matched Options**and only matched options will appear.

### Can I use NOT in my searches?

Sometimes you want to find all the posts that do not contain a particular search term. Enhanced search enables this capability as well.

To use this behavior, simply type "Not" and then select the search type. Here's an example from the Publish page, looking at recent posts in the Messages Published column:

If you have already entered a search and now want to see the not results, just hold down the shift button and click on the search circle or chiclet. It will turn red to indicate that it is for posts that are NOT in the specified search.

### How can I create a complex search?

Enhanced search can manage most complex search requests. In creating those, it's important to know the default behaviors. If you search two different terms within a particular search criteria, the search will look for posts that are either criteria. This is equivalent to an OR in Boolean searches.

In other words, if you search for two different IAB Categories at the same time, you will see results from posts that have either of those categories. In this case, the search is for a Technology \& Computing category OR the National \& Civic Holidays category.

On the other hand, if you search among different search options, the default will be AND behavior. For example, this search would result in all the posts that have "industry report" in the Post Message AND have "Google Analytics" as a keyword.

# Socialflow - Facebook Page Tagging And Branded Content

When you want to tag a page in the Compose box, you'll also need to know the exact page name and use the @ symbol. *For example, the main Dunkin Donuts' Facebook page for the U.S. has the screen name DunkinDonutsUS so you would enter: @dunkindonutsus*

# Socialflow - First Comment on Facebook and Instagram Posts

You can now add a first comment to be published automatically with your Facebook or Instagram post in Socialflow.

## Why This Feature Matters

The first comment is a strategic tool for:

* Adding links or hashtags without cluttering your main caption.

* Sharing extended context or updates that don't fit neatly into your main post.

* Boosting engagement by prompting responses or asking questions right away.

By adding it directly to your post, you no longer need to publish the comment manually -- Socialflow does it for you.

## How to Enable and Use First Comment

Before using the feature, you must **reauthorize** your Facebook or Instagram account. Follow these steps:

1. **Reauthorize Your Account**

Go to: **Settings** **→** **Application** **→** **Social Accounts**

Find the appropriate Facebook Page or Instagram account and click the circular arrow icon to trigger a new reauthorization. Follow any pop-up instructions to grant access to the account.

2. **Add a First Comment to a Post**

Once the social account has been reauthorized, start a new post to add the comment:

1. Create a new Facebook or Instagram post.

2. Select the 💬 **Comment icon**.

3. A window will appear. Enter the text or URL you'd like to publish as the first comment.

4. Click **Apply** to save the comment.

5. Set the post for publishing using Optimize, Schedule or Publish Now.

6. When the post is published, the comment will appear automatically as the first comment under it.

## Create Image Posts Including First Comment from RSS Feeds

You can now automatically create posts with images sourced from your RSS feeds in Socialflow, including Instagram.

### Why This Feature Matters

With this enhancement, you can:

* Automatically create image posts from RSS feeds; no manual image uploads required.

* Improve reach and engagement with visual-first content on Facebook and Instagram.

* Save time by letting Socialflow detect and apply images for each post.

### How It Works

Socialflow will automatically extract images by scraping the linked article page from your RSS feed. It looks for an image defined in the page's Open Graph metadata, specifically the `og:image` tag:

If a valid image is found, Socialflow will create an image post using that image.  
Even if the article contains multiple images, only one image (the one specified in og:image) will be selected and used.

### How to Enable and Use This Feature

**Step 1: Add your feed**

1. Use the **Add Feed** shortcut from the Publish Page or go to **Settings** → **Application** → **Content Sources**.

2. Select Feed then enter the RSS feed URL.

3. Choose the Account to Publish to and set the Posting Timeline to define how far back content should be pulled.

4. Click **Add and Customize** to review and configure required settings before activating the feed.

**Step 2: Configure Feed Settings**

1. Click **Edit** next to the Templates section to open the feed configuration panel (You will need to click **Edit** again on each setting inside this section).

2. Under Templates, select a format that excludes `[link]` such as `[title]`. This enables Socialflow to create image posts from the feed.

3. Enable **Convert all link posts to image posts**. This is required for image post creation.

4. Under **First Comment Templates** , select `[link]`

5. (Optional) To include a prefix before the link in the first comment:

   * Set the **First Comment Templates** to `[prefix][link]`

   * Then enter your desired **First Comment Prefix** such as **Read More:**

Once all template settings are configured, don't forget to activate the feed to begin importing and generating posts.

**Step 3: Review and Edit Posts**

Once your feed is active, Socialflow will begin importing entries and generating posts based on your template settings. To review and make adjustments:

* Go to the Publish page and filter the Queue by Sources (newly added feed)

* Click Options on a post to view or edit the extracted image, including the added first comment.

**Note**: If you update the setting on an existing feed, Socialflow will apply the changes to new posts from that point forward. We will generate new posts with images and/or first comments based on your updated configuration. Previously created posts will not be updated to include images or first comments.

If you want to reprocess older posts using the new settings, you will need to add the feed again using the same URL and apply the updated templates setting during setup.

Depending on your Limit Duplication settings (configured under your Social Account settings), some of these older posts may not be recreated. To ensure the right behavior, review your duplication settings and adjust as needed.

# Socialflow Implementation

On our set-up call, we will walk you through the steps below to help you set up your accounts with ease and clarity. Our team will provide guidance, answer questions, and ensure a smooth process for a successful account setup.

## Information to Gather Before the Call

1. Depending on which social networks you plan to use in Socialflow, you must have:

   * "Full Control" or the highest level of admin rights to your Facebook page(s)

   * Login credentials for your 𝕏 account(s)

   * Admin rights to your company LinkedIn profile

   * Login credentials for Pinterest

   * Instagram requires that the IG account is set as a business profile and connected to a corresponding FB page

   * Login credentials for your Threads account(s)

2. RSS feed URL(s) from your website (optional but recommended)

3. Bitly account access or custom short domain (optional)

<!-- -->

4. Google Analytics or other tracking tags (optional)

## Setup Steps

**Step 1:** **Authorize Social Accounts**

Once your customer success manager (CSM) has sent you a new user invite email, you will configure your password and go to Settings / Application / Social Accounts to add your social accounts into Socialflow.

**Step 2:** **Add a Link Shortener** (optional)

Authorize your Bitly account into Socialflow OR simply use our built-in link shortener, Tribal. If you plan to use a custom branded short domain, tell your CSM to receive additional instructions.

**Step 3:** **Authorize Google Analytics** (optional)

Add Google Analytics or Omniture tracking tags into Socialflow to help identify website traffic driven by social media. You can also authorize your Google Analytics account to pull in page visitor stats directly into Socialflow. Your CSM will show you how to do this.

**Step 4:** **Add Content**

Your CSM will add at least 1 RSS feed during the set up call to show you the steps and all the available settings. You can then add the rest of your feeds after the call.

**Step 5:** **Advanced Settings**

Your CSM will go over the Publishing Limits, which you can customize for each social account. You can set these rules and edit them anytime. You will also go over Domain Verification and how to whitelist your website domain(s) in Socialflow in order to edit metadata for your Facebook posts.

**Step 6:** **Add Users**

Navigate to Settings / Admin / Users and Permissions to add any users from your team and customize their permissions within Socialflow. Your CSM will go over the permission levels with you.

Now you are ready to publish!

## Getting Started

In order to connect your Instagram account to SocialFlow, You must have an Instagram Business Profile that's linked to the Facebook Page for your business. See below for step-by-step directions that will get you publishing your Instagram content from SocialFlow in no time!

## How to Connect Your Facebook Page to Your Instagram Business Account

Connect the Facebook Page to the Instagram Business Account.

Go to your Page's Settings and click Instagram, then log in to your Instagram account:

## How to Connect Your Instagram Account to SocialFlow

1. Log into the SocialFlow dashboard from your computer

2. Click on "Settings" in the top purple bar

3. Click on "Application" (underneath the SocialFlow logo)

4. Click "Add Social Account"

5. Select "Instagram"

You may be redirected to a Facebook login screen if you have not previously added an Instagram Publishing account. If you have not connected your Instagram account to a Facebook page, please see the steps under "How to Connect Your Facebook Page to Your Instagram Business Account" above.

6. Grant SocialFlow permission to view Instagram accounts

# Socialflow - Link in Bio

## Introduction

The **Link in Bio** feature pairs your Instagram posts with a dedicated, Socialflow-hosted webpage that collects clickable links in one place. When a follower visits your Link in Bio page, they see a visual grid of your recent posts, each linked to the destination URL you specified at publish time.

When first created, the Link in Bio page starts completely blank. Before promoting or publishing to it publicly, you will likely want to customize the page with a bio, CTA buttons, social icons, and other branding elements. You can also review and add already live Instagram posts to the page before creating new Link in Bio content.

### What Is Link in Bio?

Link in Bio is a third-party webpage powered by Socialflow that mirrors your Instagram posts and hosts the corresponding links. Once enabled, a page is automatically created at the following URL format:

```
piano.trib.al/[your-instagram-handle]
```

You place this URL in your Instagram profile's "website" field so followers can tap through to find all your linked content.

### Key Benefits

* **Drive website traffic:** Direct your Instagram audience to specific pages on your website.

* **Centralized link page:** All published Link in Bio posts are collected on a single, branded page your followers can browse.

* **Customization:** Edit the page profile, add social and CTA buttons, and pin or highlight posts.

* **Integrated workflow:** Add a link directly within the standard Instagram compose flow; no separate tool required.

## Prerequisites

### Create a Link in Bio Post

Follow the steps below to compose an Instagram post with an attached Link in Bio link.

#### Compose Your Post

1. Click **Compose** and make sure your Instagram account is selected.

2. Add your **image** , **video, or carousel** and **caption text** as you would for any standard Instagram post.

#### Add Your Link

1. In the compose toolbar, click the **Instagram logo icon** (the last icon on the right) to open the Link in Bio options.

2. Enter the **destination URL** you want followers to visit.

3. *(Optional)* Add **alt text** for accessibility.

4. Publish your post.

Tracking tags configured in your account settings are automatically appended to the link, no manual tagging is required.

**Example:** You compose a post promoting a new article. After adding the image and caption, you click the Instagram icon, paste the article URL, and publish. The post appears on Instagram *and* on your Link in Bio page, giving followers a clickable path to the full article.

### Account Enablement

1. Contact your **Client Success Manager** or [success@piano.io](mailto:Success@piano.io) to request that Link in Bio be activated for your overall account.

2. Once activated, navigate to your Instagram account's **Settings** page in Socialflow to enable the feature for the individual handle (repeat this step if you have multiple IG handles).

3. Navigate to the **Publish** page and select the IG handle to verify the Link in Bio tab now appears next to the Calendar View.

Now you're ready to customize the Link in Bio page.

### Testing Recommendations

* **Start small:** Test with a smaller Instagram handle first to catch any issues before rolling out to a larger audience.

* **Preview before going live:** Run your Link in Bio content *without* adding the page URL to your Instagram profile. This allows you to access and review the page privately, ensuring all content is properly aligned before making it public.

## Manage Your Link in Bio Page

After publishing, you can customize and manage your Link in Bio page from the **Link in Bio** tab on the **Publish** page in Socialflow.

### Page Customization

* **Edit page profile:** Update the page's display name, avatar, and description.

* **Add social buttons:** Include links to your other social media profiles.

* **Add CTA buttons:** Add call-to-action buttons (e.g., "Shop Now," "Subscribe") to prompt specific user actions.

* **Preview the page:** View how the Link in Bio page appears to visitors before making changes public.

### Post Management

* **Set active/inactive:** Toggle individual post items on or off without deleting them.

* **Edit details:** Update the link, text, or other metadata for any published item.

* **Pin and highlight:** Give priority placement or visual emphasis to specific posts.

* **Filter by active:** Quickly view only the items currently visible on your Link in Bio page.

# Socialflow - Link Shortening

In the Reports section of SocialFlow, you'll find a **Link Shortening** tab.

On this page, you can enter a long link into the box and select your link shortener from a drop-down.

Click the **Shorten** button and SocialFlow will create a short link for you to use anywhere, including outside of SocialFlow (for example, in a marketing email). Because we shortened the link, we'll still be able to track the clicks on the link even if it isn't distributed through SocialFlow publishing.

Each link is listed below with the number of clicks, and you can sort by date range or number of clicks.

# Socialflow - Listen

Listening to your audience with Socialflow will allow you to monitor the engagement and response you are receiving from your fans and followers. You can also search topics and monitor your competitors.

First, click which social account you want to display information for on the left side of the page.

Then open a column available for that account on the right side of the page.

*Note: There is a limit of 10 columns per social account.*

* **Columns**: These are unique to each social network and help you organize and monitor your engagement. The column options are always listed on the right side of the screen after clicking an account. A detailed list of column options are listed below.

* **Custom Views**: You can create a custom view to centralize the social accounts and the columns you need the most. For example, you could have view of two Facebook Timelines and a Linkedin Timeline or 10 Page Search columns to monitor competitor's posts.

* **Filter Search**: You can filter the Listening view by social network or "service" (just Facebook pages for example) or by social account name.

Each social media network has unique columns, let's break down what's available by network:

# Socialflow - Managing the Publishing Queue

## Queue Search

You are able to search content within the publishing queue and message published columns. The queue search can be found by going to the Publish page and clicking the + Filter sign located on top of either column.

To use the queue search simply click into the search box, enter your search term, and click the search icon.

**Search bar** - will search all content available in the queue by a particular keyword or phrase

Notes for searching the queue:

* If you have a narrowed queue (for example: viewing only specific sources, or content with specific settings), the search only works against items found that match that sorting function.

* To get back to viewing all items click the X next to the search icon.

* Queue search takes boolean operators: AND, OR, NOT.

  * **Note** - these words must be capitalized to get the search results you desire.

* To search for recycled content items type this into the search box (without the quotation marks) "is:recycled"

* To search for labeled content items type this into the search box (without the quotation marks or brackets) "label:\[label\]"

## Using the Queue Filters

In the **Queue** column, click the **+** icon next to **Filter.**Here you will find a variety of drop-down menus that will sort and filter your queue.

**Check Box** - Will allow you to bulk select messages by type (Optimized, Scheduled, Hold)

**Sort By**- Will allow you to sort by various chronological orders

**Statuses** - Will group the content based on how it is set to be sent out (i.e., optimize, schedule, or hold)

**Sources** - Will show which content source the content came from

**Label and Save these filter options for later** - This will create a dropdown option to quickly select the view in the future

*Note*: The last saved filter view will load by default

**Reset Filters** - This will remove any applied filters

# Socialflow - Managing the Timeline Queue

## Filtering the Timeline

Clicking on the Filter option at the top of the queue will expand the Timeline filter.

* **Search**: Used to look for a particular keyword or phrase.

* **Statuses:**Groups the content based on how it was sent out i.e.: Optimized, Scheduled, or Published. You can click the boxes at the top of the queue to filter these from view.

* **Sources:** Shows which content source the content came from. You can isolate one feed or source at a time to view only those pieces of content.

## Recycling Content

### Individually

You might want to put evergreen content or content that has performed well back into your Publishing queue**.** Click the **Expand** button on the piece of content in your **Timeline,**then click the recycle arrows.

This piece of content will then be recreated exactly as it was published in the Compose box at the top of the Publish page. You will have the option to edit this content as you would be able to with any piece of content in the Compose box (change the copy, add new tracking tags, etc.) and select its publishing status. Once this is complete, that piece of content will be placed into the Publishing queue until it is ready to be published to your social account.

### Bulk Recycle

If you'd like to recycle multiple pieces of content within the timeline at once, you can use the Bulk recycle option. Expand the Filter option at the top of the timeline queue and you will see white checkboxes appear to the left of each piece of content.

Select the items that you'd like to recycle by checking off the boxes and then click on the "Recycle as" dropdown at the top of the queue. You will be able to choose to recycle this content on Optimize or on Hold and it will then be sent back to the Publishing queue.

- It is important to note that only content published through the SocialFlow platform can be recycled; anything published natively will not have a recycling option.

### Expand

This button allows you to recycle content using the triangular recycle arrows or delete content that has been published, which will remove that content from the respective social account and show it as deleted within the Timeline.

### Amplifying Content

The Amplify button will appear on all of your published messages in the Timeline queue. This button may display in orange any time a message is performing above average in terms of engagement. You can click the amplify button to connect your ads account and boost or promote the post, adding budget and targeting options in order for the message to reach a larger audience.

### Label

The Label button that appears on your published messages within the Timeline queue allows you to apply labels to your content after it has been published. Labels will help organize your messages into categories and, as with labels that are applied before your content is published, they will never be seen by your audience.

### View Report

You can view a report specific to each message you publish. Depending on the channel, it will include data such as: Link clicks, Retweets (w. Downloadable list of handles), Favorites, click performance by location, as well as basic information about publish time and date.

# Socialflow - Manually Composing for Facebook

You have the option to manually create a new link post by entering the text and URL for your post using the Compose box. SocialFlow will automatically scrape the link for metadata just like Facebook does and display the metadata underneath.

Now you will see options to edit the metadata. All items in the meta section can be customized, including the title, URL, description, and thumbnail. You can also add a Call to Action button (which is normally in the Power Editor section of Facebook). This will display an additional button at the bottom of your post to visually encourage users to click your link.

At the bottom of the Compose Box, you'll see these icons:

The Camera icon is multi-purpose and will allow you to do the following:

* Attach a single image to create a regular photo post

* Attach up to 5 images to create a Facebook carousel (a series of static images the end user can scroll through and offers a unique URL per image)

* Attach a video

Once you attach a video file, you'll see a film strip icon appear to give you more options to customize the video, adding closed captions with an SRT file and other settings.

Next to the Camera icon is a Play Button icon, which is for Facebook Slideshows. The feature will allow you to add up to 7 images and the images will scroll through like a video.

Then you'll see the Branded Content icon or Handshake tool. This will allow you to tag other Facebook Pages that may be a sponsor or content partner in the approved Facebook format.

If you need to tag or mention a page that is not Branded Content, you can also just type the @ symbol and the page name. Then select the page from a dropdown.

Once you have selected the page from the drop-down, there will be \[ brackets \] added to the page name in your post. Just leave the brackets there and the page name will turn into a hyperlink once published.

Next to the Handshake icon, you'll see a Tag icon. This is for Labeling in SocialFlow.

None of your fans will see this. It's just a way to categorize your posts into specific buckets or categories for reporting purposes later.

You can enter a customized label name. Once you've used a label, it's stored in a drop-down for easy use later.

Next to the Labels is the Target icon. We offer the same targeting options that Facebook provides when you publish natively.

If you use targeting frequently, note that you have the option to label and save a set of targeting parameters for ease of use later.

Lastly, there is an eyeball icon. This allows you to create an unpublished page post (what used to be called dark posts). These types of posts are hidden from your fans on Facebook. You can only access them by direct URL or in Power Editor and are mostly used when you decide to promote a post to a custom audience outside of your regular fan base.

# Socialflow - Manually Composing for Instagram

You have the option to manually create a new post for Instagram using the Compose box. At the bottom of the Compose Box, you'll see these icons:

The first icon on the left, is the image icon.

After you enter some text for the post, you can use the image icon to attach a single photo, a single video, or to create a carousel post attaching multiple images and/or videos.

When you upload a video, you'll see the option to select a thumbnail.

Next to the Image icon, the second icon from the left, is a **Label** icon.

This features allows you to search for any saved captions you may have created on Instagram and re-use them easily.

This allows you to search for a specific location and tag it in your Instagram post.

Once this feature is enabled for your account, you can create posts and add a URL to send that post to both the Instagram timeline and to a custom webpage hosted by Socialflow. This makes it easier for fans to travel to your site from the Instagram platform.

# Socialflow - Manually Composing for LinkedIn

# Socialflow - Manually Composing for Pinterest

When composing for Pinterest, you'll see a drop-down list of all of your Pinterest boards so that you can choose which board your new pin belongs to. You will not be able to edit the metadata for your pin but you can upload the specific image or use the image that pulls in from the URL.

With Twitter, you will see some similarities with Facebook. There are the same buttons for "Tracking Tags," "Shorten Links," and Publishing Options.

However, you will notice some different functions. The camera icon here is also multi-purpose, it will allow you to:

* Attach a single image

* Attach up to 4 images for the grid or panel design on Twitter

* Attach an animated .gif

* Attach a video up to 140 seconds in length

You'll also notice we are tracking your character count in the compose box. When you exceed the 280-character limit, the number will turn red and you'll see a negative count so you know how many characters need to be removed.

# Socialflow - Media Requirements

When publishing from Socialflow there are size requirements for media uploads. Messages will fail to publish if they do not meet the media upload requirements.  
Upload limits are subject to change if the social media site changes its API upload limits. These limits are API specific and the limits may be different when publishing directly to the social media site.

**Facebook**

* Image - 8MB

* Thumbnail (link posts) - 3MB

* Video - 10GB or 1 hour

  * We support almost all types of video files but recommend using the MP4 format.

  * The resolution should be 1080p or under.

  * We support file sizes up to 10GB, there may be longer upload times associated with larger files on slower Internet connections.

  * We also recommend Stereo AAC audio compression with 128kbps, or more, preferred.

**Twitter/X**

* Image - 3MB

* Animated gif - 15MB

* Video - 512MB or 140 seconds

  * Duration should be between 0.5 and 140 seconds

  * File size should not exceed 512MB

  * Dimensions should be between 32x32 and 1280x1024

  * Aspect ratio should be between 1:3 and 3:1

  * Frame rate should be 40fps or less

  * Must not have open GOP

  * Must use progressive scan

  * Must have 1:1 pixel aspect ratio

  * Only YUV 4:2:0 pixel format is supported.

  * Audio should be mono or stereo, not 5.1 or greater

  * Audio must be AAC with Low Complexity profile. High-Efficiency AAC is not supported.

**Instagram**

* Image - 8MB

* Video - 100MB maximum (3 seconds to 60 seconds)

  * Container: MOV or MP4 (MPEG-4 Part 14), no edit lists, moov atom at the front of the file.

  * Audio codec: AAC, 48khz sample rate maximum, 1 or 2 channels (mono or stereo).

  * Video codec: HEVC or H264, progressive scan, closed GOP, 4:2:0 chroma subsampling.

  * Frame rate: 23-60 FPS.

  * Picture size:

    * Maximum columns (horizontal pixels): 1920

    * Minimum aspect ratio \[cols / rows\]: 4 / 5

    * Maximum aspect ratio \[cols / rows\]: 16 / 9

    * Bitrate: VBR, 5Mbps maximum

**LinkedIn**

* Image - 5MB-200MB (at least 552x276)

  * Note: The image frame ratio ranges from 3:1 to 2:3 (width/height). If the ratio is larger, the image will be centered and cropped.

* Video - 75KB minimum, Length 3 sec. - 10 min.

  * Container: MOV or MP4 (MPEG-4 Part 14), no edit lists, moov atom at the front of the file.

  * Frame rate: 10-60 FPS.

  * Picture size:

    * Maximum columns (horizontal pixels): 1920

    * Minimum aspect ratio \[cols / rows\]: 1:2.4

    * Maximum aspect ratio \[cols / rows\]: 2.4:1

    * Bitrate: 192kbps - 30mbps

**Threads**

* Image - 8 MB

  * JPEG and PNG images the officially supported formats

  * Aspect Ratio 10:1

  * 320 mid width / 1440 max width

  * Height varies based on aspect ratio

  * Color space: sRGB. Images using other color spaces will be converted to sRGB.

* Video - 1 GB Max, 5 minute max

  * MOV or MP4 (MPEG-4 Part 14), no edit lists, moov atom at the front of the file

  * Audio Codec: AAC, 48khz sample rate max, 1 or 2 channels (mono or stereo)

  * Video Codec: HEVC or H264, progressive scan, closed GOP, 4:2:0 chroma subsampling

  * Frame Rate: 23-60 FPS

  * Picture:

    * Max Columns: 1920

    * Required Aspect Ratio between .01:1 and 10:1

    * 9:16 is recommended to avoid cropping or blank space

# Socialflow - Reauthorizing Your Account

A social account can be deauthorized for a number of reasons. An access token can expire at any point in time, which will trigger the need to reauthorize the account and get a new security token. An account will also need to be reauthorized if an admin of the social account who did the initial authorization changes the account password.

In order to complete the reauthorization process, the steps and requirements are as follows:

1. You have admin rights in SocialFlow.

2. You have admin rights to the account that you are reauthorizing:

   * admin rights to the page on Facebook.com

     * **NOTE:** Facebook requires that admins also have Manage Pages permission enabled in Business Manager.

   * admin of the Twitter account

   * admin of the Pinterest account

   * admin of the LinkedIn page

     * **NOTE:** LinkedIn will require a reauth every 60 days.

If you have those requirements met, you can complete these steps to re-auth the page:

1. Head to Settings -\> Application -\> Social Accounts

2. Find the account in the account list that needs the re-auth.

3. Click the reauthorize button for the account(s) that you want to re-auth.

   * **NOTE:**Do not click delete.

4. Complete the Facebook Auth Flow

   * **NOTE:** In some instances, you will need to add permissions in the Business Integration Settings on Facebook.

Alternatively, you can reauth accounts in batches using the Reauthorize All function

1. Head to Settings -\> Application -\> Social Accounts

2. At the bottom of the account list use the drop-down list to Select An Account Type

3. Click the Reauthorize All button.

4. Complete the Facebook Auth Flow

   * **NOTE:** In some instances, you will need to add permissions in the Business Integration Settings on Facebook.

# Socialflow - Removing Socialflow app from Facebook

If you are experiencing issues re-authorizing your Facebook account, you can remove the SocialFlow app from your Facebook page in order to trigger the Reauthorize button on the Application page.

1. Log into your Facebook account. Click the down arrow on the top toolbar and click the option for **Settings**.

2. In the Settings screen, click the setting for **Business Integrations**. Facebook displays a list of all the integrations to which it's connected.

3. Select the SocialFlow icon.

# Socialflow - Reports

When you navigate to the main Reports tab, you'll land on the Dashboard page. You can customize your view by social network, date or date range, or filter by your predefined groups.

## **Reports: Dashboard Page**

### **Key Data Points**

Let's break down what you'll see when you navigate to your Dashboard.

**Messages Sent**: How many messages you've published through Socialflow on all or a selection of your social platforms, broken down by day. The percentage next to this number indicates whether or not you've published more or less than the previous time frame.

**Clicks** (Previous clicks v. current clicks): This total sum and graph indicate how many **link clicks** your content has received in the given time frame. The percentage shows how that total compares to the previous time frame, as does the graph. The lighter shaded bars represent that day, last time compared to the darker shaded bar representing that day, this time frame.

**Interactions**: This data includes all engagements outside of the click: Likes, Shares, comments, reactions, Retweets and mentions, etc. so you can get a general sense of how much engagement has increased or decreased. It does not include LinkedIn or Pinterest since these networks do not provide them in the same way from their API.

**Total Audience**: Total number of fans or followers.

**Audience Gains**: How many new fans or followers you have gained in that time frame.

**Audience Engagement**: Audience engagement broken down hourly to show you what times of day received the most engagement. It's displayed in a seven day period but will be averaged for longer time frames.

## **Reports: Messages Page**

This page provides an easy way to find top-performing content. You can click the column headers for the metrics you want to sort by, making it easy to see which posts performed the best in terms of clicks, Likes, Shares, or any other metric.

You can find more metrics to filter by if you click the 3 dot icon on the right, just above the first post in this list.

***Pro Tip*** *: Once you filter your messages to view top-performing content, you can then bulk recycle using the checkbox feature. You can even recycle content that wasn't sent through Socialflow originally.*

## **Searching Content**

Using the search bar at the top, you can access search options like Classic Search (or the default search) as well as enhanced search options like Post Editor, Link, or Label. As you type in the search box, suggested search options will show up automatically. Click on the option you're interested in to start the search. The search criteria you enter will show up in a small outline or "chiclet" within the search box, and the search results will be displayed on the page.

Sometimes you want to eliminate certain types of content from appearing in the list of messages.

One option is to type "not" before your search and the search results presented will be updated to not include those items.

Another option is to hold the shift button and click on the chiclet that contains the original search. The circle or outline around the search chiclet will then turn red indicating that the search is for posts that are NOT in that specified category. Here's an example where we searched for sports content NOT Olympics.

### **Reports: Charts**

Here you can generate graphs representing total clicks, likes, shares, retweets, comments, mentions, followers, or page likes, for one or multiple accounts - as either a sum or a comparison.

You can set a specific time frame or create a graph that updates on a rolling time frame, for example, every 7 days. The charts you create can be downloaded as a .png file.

### **Reports: Link Shortening**

This Link Shortening page allows you to enter a long URL and have it shortened by our platform. Then you can use that new short link outside of Socialflow (ex. email, marketing campaign, etc) and this page will display the click count since our system shortened the link. If you have a custom branded short link installed, you can use that here when creating new links as well.

### **Reports: Downloadable Reports Page**

Here you can generate and download Excel files of your social account data for closer analysis. First, click on the Create Report button on the right.

Once you click Create Report, you'll see there are a few different report types to choose from:

* Message Report

  * This report will list all messages for the account and time frame that you'd like to review. It includes all the engagement metrics for the messages as well as the user who created the message and the label on that message.

* Label Report

  * After you've labeled content during the publishing process, you can select the label here and only see those messages and their engagement data. You can select multiple labels to make comparisons of different types of content to see which performs better.

* Month Over Month

  * This report shows your total engagement data per month for your individual accounts for whatever time frame you select. It includes the percentage of change for each of the stats you can quickly get a high level view of how the account has progressed.

* Week Over Week

  * Similar to the month over month report, this report shows your total engagement data per week and also includes the percentage of change.

* Day Over Day

  * Same as above but to be used for daily comparisons.

Once you select the type of report, you can choose which social account and for what time frame you need data for in the pop-up window:

The report will generate and create a new line item in the reports list. Just click the download button to open the Excel spreadsheet.

All of these reports are also available on a recurring basis. Just click **New Recurring Report** and select one of the same report options outlined above. Then you'll have the option to select the regularity (daily, weekly, monthly) and to which email address or enter multiple, comma separated emails.

# Socialflow - Searching For Expired Messages

**Why does content potentially expire?**

RSS feeds have expiration settings in Socialflow so that you can be sure that, if some of the content pulled in is not used, it will not linger in the queue forever. It's a good idea to keep your queue up to date with only the most relevant content.

Additionally, any message that is set to Optimized / Can Send has the ability to expire if the message is not published by the end of the Optimized time window. This can occur if there are too many messages in the queue that our system cannot publish them all in the time frame allowed. Can Send is considered lower in priority so our system will ensure other types of messages are sent first.

**Where does the expired content go?**

When a message expires it is moved from the Queue on the Publish Page to a column on the Listen page.

To find the expired message, just go to the Listen Page and select the relevant social account on the left side.

Then click on **Please select a column type** on the right side and choose **Expired**.

Any messages you see here that are still worthy of publishing, can be sent back to the Queue for another chance. Just click the arrow icon under the message and choose if you want the message sent back on Hold for editing, or back on Optimize so that our system can start looking to publish it without additional steps.

# Socialflow - Setting Publishing Limits

Each social account has its own settings page in Socialflow where you can customize Publishing Limits.

Navigate to Settings → Application → Social Accounts and click on the blue pencil icon next to the social account.

Once you land on the Settings page, scroll halfway down to find the Publishing Limits section.

Publishing limits allow each social account to have its own rules and cadence for publishing content. Here are the settings defined:

* **Reset All to Optimized**- This option allows you to set publishing limits back to the general Optimized setting, and lets our algorithm calculate the best time to publish your content.

* **Max Messages Per Day** - A limit on the total number of messages allowed to publish via Socialflow in one day (optimize defaults to 100 messages / day). This total will include your scheduled content and publish now content as well as what is optimized.

* **Max Messages Per Hour** - A limit on the total number of messages allowed to publish via Socialflow in one hour (optimize defaults to 5 messages / hour) This total will include your scheduled content and publish now content as well as what is optimized.

* **Message Window** - The overall window of time during which messages can publish (leave on default if the account publishes 24 hours a day).

* **Minimum Message Interval** - The minimum number of minutes that must elapse between messages (optimize defaults to 20 minutes). The timer will start from the last message published.

* **Max Minutes Between Messages** - The maximum number of minutes before a potential optimized message publishes (optimize defaults to 720 minutes) The timer will start from the last message published.

* **Pause optimized and scheduled publishing** - This Pause Publishing button at the bottom of the settings will pause all messages from being published from the queue. This is an emergency feature to stop anything from going live during breaking news or other similar event.

**Note:** While these settings take into account all messages, a Scheduled post will always publish at the scheduled time, a Publish Now message will never be prevented from publishing, and a 'Must Send' message can override the rules if needed.

**Here's an example use case:**

Max Messages per Day set to 20

If you have in the queue-

* 10 scheduled items for the day

* 2 posts sent as publish now that day

* 5 optimized must sends for the day

* 5 optimized can sends for the week

The 10 scheduled items will publish at their set times.

The 2 publish now messages will go out immediately.

The 5 optimized Must Sends will publish during or by the end of their windows (make sure the end times are not matching!)

Only 3 Optimized Can Sends will publish to meet the limit of 20 posts per day. The remaining 2 Optimized Can Sends will wait until the next day.

This is why we recommend using all publishing types, including Optimized Can Send for low priority content that can help you reach a full volume of publishing and not go over. It gives you room for breaking news and other unexpected events on busy days, and fills in the gaps on slower days.

# Socialflow - Setting Up 2-Factor Authentication

There are two ways you can enable 2-Factor Authentication in SocialFlow.

**Using your Gmail account:**

This setup assumes you have already activated Google 2-Factor Authentication in your Google domain settings. If you have not done this yet, please contact your administrator.

1. Log into SocialFlow with your existing credentials.

2. To set up Google 2-Factor Authentication, navigate to Settings → User Account.

3. Find the "Google" logo near the bottom of the page and click on it.

4. If you aren't signed into a Google account, you will be prompted to do so. If you are signed into multiple accounts, you will be prompted to choose which account you would like to use.

   Once this is complete, you will have enabled signing in with Google sign-in to your SocialFlow account.

5. Next, disable your SocialFlow credentials. This will force Google 2-Factor to be the only way to log into SocialFlow.

   To do so, find the "Allow SocialFlow Credentials" box and change it from "Allowed" to "Disabled."

6. Your existing SocialFlow credentials will no longer be valid.

To test that your new setup works, sign out of SocialFlow and then:

1. Click "Sign In" in the upper right-hand corner.

2. On this attempt to enter your SocialFlow credentials, they should not work. If they do function and allow you to sign in, ensure that Step 5 was done correctly.

3. Click the "Google" text directly below the credentials box.

4. If you are still logged into your linked Google mail account, you will then be logged into SocialFlow.

   If you are not currently logged into your Google Mail account, you will be prompted to do so.

**Using SocialFlow's 2-Factor Authentication:**  
Before attempting to do the following steps, it is critical that you ensure that the time on your phone is set to the correct time. 2-Factor Authentication requires two things to be successful - a pin and a timestamp. If the time on your phone does not match up with the real time (i.e., you set your phone ahead 10 minutes to wake up on time each morning), you will not be able to set up 2-Factor Authentication successfully.

First, log into SocialFlow and head to your Settings page.

On this page, find the option for "2-Step Verification with Mobile App" and click "Enable."

Enter your password and you will be brought to this prompt. Follow all instructions on this prompt and click "Verify and Enable."

You'll then be given a set of backup codes. Print these out and keep them in a safe place. These can be used when you forget your phone and need to log into the platform.

# Socialflow - Setting Up a Custom Short Domain

Please Note: These steps will not apply to custom links using "HTTPS." To set up custom domains that use "HTTPS" please contact [support@piano.io](mailto:support@piano.io).

To enable a custom short domain, you must have access to your domain's DNS.

Please create a CNAME record for your link shortener domain to point to sflow.us. This is required since IP addresses are subject to change.

After that is completed, you should wait at least 48 hours to allow the changes to fully propagate.

After 2 days, follow these steps:

1. Log in to Socialflow and navigate to Settings / Application / Link Shorteners

2. Click Add Link Shortener

3. Choose Custom in the first drop down

4. Add your domain

5. Choose Client Wide for all social accounts or choose a specific social account

6. Click Save

Your link shortener is now set up. Give it a test by entering a link into our Compose box and clicking "Shorten Link." If you can click through the link without issue, you have properly set up your own custom short domain.
