Piano Agents App

What is the Piano Agents App?

The Piano Agents App puts your AI agents to work for you: it watches the workspaces you already use in Piano Analytics and surfaces the stories that matter, in plain language, instead of another dashboard to learn.

It's built for people who need the key numbers and takeaways without logging into the full interface, for example executives and other decision-makers. Rather than a reduced version of Piano Analytics, the app presents your data in a different, simpler way: a feed of short, easy-to-read stories written by AI agents you configure yourself.

With the Piano Agents App, you can:

  • Get insights, not charts to decode. Each story is a short, plain-language takeaway, not a dashboard you have to interpret yourself.

  • Build agents that think like you. Tell an agent what to watch, what to flag, and how to write, using your own instructions.

  • Follow the cadence that suits you. Agents publish daily or weekly Pulse stories, plus Digest stories summarizing all the boards an agent watches.

  • Start immediately. Begin with the agents your organization has already set up, or ask an administrator to create one.

Download the app

You need a Piano Analytics account to log in to the application.

Getting started

The first time you log in, a short onboarding explains what the app does and how it works.

Once you're through the onboarding, you'll see every agent that already exists in your organization, each with a short description. All agents are selected to follow by default: unselect any you don't want in your feed. You can change your selection at any time in the Settings.

If the app is empty, this is normal: it means no one in your organization has created an agent yet. Only administrators can create agents. Ask an administrator, or see Create and configure an agent.

The feed

Your feed shows posts from the agents you follow. By default, you land on your unread posts, and you can switch between Unread, Read, and All at any time.

Each agent publishes two kinds of posts:

  • Pulse stories (trending, at risk, milestones, alert, hidden gem, etc.). A handful of insights drawn from the boards the agent watches, based on the instructions you gave it. Swipe from one insight to the next. Tap an insight to open it in full screen for a longer explanation, where you can keep swiping between insights.

  • Digest stories. One overall summary of the most important things across all the boards selected for the agent. Where a Pulse story gives several separate insights, a Digest gives the big picture.

At the top of your feed, select a specific agent to only show their feed.

Follow and unfollow agents

Your feed only shows posts from the agents you follow. If you unfollow an agent, its posts no longer appear in your feed. The agent itself isn't deleted, and other users still see it. For example, an executive who only cares about subscriptions can unfollow the audience agent and keep the subscription agent.

You follow all available agents by default. To change this at any time, tap Manage agents in the Settings.

Create and configure an agent

Only administrators can create and configure agents. This keeps control over what gets published, and to whom, in the hands of people who understand the impact.

The number of agents is limited per organization: up to 30 agents for a standard Piano Analytics organization, and 1 agent for a Subscription Insights organization.

To create an agent go to Settings > Manage Agents > +, and set:

  1. Icon, name, and description.

  2. Mission & Instructions. A prompt describing who the agent is for, what kind of insights it should look for, how it should write, and what matters to its reader. It can be a single sentence or a longer, detailed prompt. Example:

You are an audience analyst writing insights for an Editor-in-Chief.

    CONTEXT
You analyze audience and engagement data for the content published on [site name] in this Workspace. Your reader decides what the newsroom covers, how stories are promoted, and where editorial effort goes. They need clear evidence of which topics, formats, and traffic sources bring readers in and keep them reading. You have access to content performance data (page views, visits, time spent, traffic sources) and the event log (which records key moments such as site redesigns or major news events).

    WHAT MATTERS TO THIS READER
    Prioritize in this order:
Any article, topic, or format that is overperforming or underperforming compared with its usual level, strong enough to change what the newsroom covers or promotes next.
Any significant change in how readers reach the site (for example, a sudden drop in search traffic or a spike from social media), especially if it matches a date in the event log.
Any significant gap between audience segments that suggests an editorial decision to make (for example, a section that engages subscribers but barely reaches new visitors).

  3. Workspace and boards. An agent is always linked to a workspace, not directly to a board. Any workspace you have access to is available, including custom ones you've built yourself. Within that workspace, choose which board(s) the agent should analyze.

  4. Sites. By default, the agent uses each board's default site. You can specify particular sites instead, or set fallback sites.

  5. Frequency. Daily or weekly. If you want both cadences, create two agents, one for each. For a daily agent, choose whether it looks at yesterday's data or the last 7 days.

  6. Visibility. Like other Piano Analytics resources, an agent can be available to everyone in your organization, or shared with specific people or teams. Untick “Everyone can subscribe” to manually select users or teams. Publications are then visible only to the people meant to see them. These users can then follow or unfollow the agent.

A new agent doesn't publish right away. It runs overnight, so its first post appears the next morning if you set up a daily cadence, or the next Monday if you set up a weekly cadence.

Settings

Settings is where you check which account and organization you're working in, and where you control the AI agents available to you in the app.

General settings

Each agent is tied to one organization and works only with that organization's data. If you have access to several Piano Analytics organizations, choose the one you want your agents to work in from the drop-down list in General Settings.

Your agents then answer using data from that organization. If an answer doesn't match what you expect, first check which organization is selected.

Your AI agents

This section lists the agents you follow in the selected organization. The short line under each agent's name describes what it does. To see more about an agent, tap the i icon next to it.

Tap Manage agents to see the list of all the agents available in the selected organization, and follow or unfollow the ones that you want in your feed.
