Email Notification Templates

Piano provides a default copy for its email notification templates, but the wording and design of these emails are both completely in your hands. A subset of the emails listed below can also be customized on a term-specific basis (such emails are noted). Note, that the term-specific email will always override the general one configured under Manage → Email Manager. So you won't be able to use both at once. Each email notification can be localized, although it's necessary to localize each term-specific notification separately as well.

For clients using Management + Billing with Identity Management or any third-party user provider, Piano's emails are entirely discretionary and will not be sent unless you toggle them on.

Please note that, if you are using an outside system for user management, some of the emails below will not be available because the user events that trigger them occur in outside systems. For example, password reset request emails are only sent if you're using Identity Management. Similarly, if you are using any system other than Management + Billing for checkout, none of these emails will be available because they are triggered based on events that occur in Management + Billing and information stored within Management + Billing.

Email Manager's Notification Templates

Click the name of any email notification below and you will be able to view a description, the email's default copy.

Please keep in mind that the left-hand sidebar for each email notification template will show all email variables available across all different emails. Some variables might not work for specific emails. Below you can find more details about the applicable variables for each template.

  • Master email layout: This is the master design template for all emails you send (used to control the style along with the header/footer on all your emails). It should be customized before you enable and customize any other emails. If you do not customize it, we will use the business logo and business name specified in the Edit Business section along with some Piano-branded design elements. Please note that, for all white-labeled Piano applications, you must customize this template before any password reset emails and other subscription-related notifications will be sent. If you receive an error when trying to save your master email layout, please ensure that you have included the {{body}} element before reaching out to Piano support staff.

  • 3DS 2.0 Authentication: Sent to customers that had a payment failure with an "Authentication is required" error. This email can be configured on a term-specific basis for dynamic and recurring payment terms. More information is available here.

  • 3DS 2.0 Authentication of a term change: Sent to a consumer whose payment for a term change requires 3DS 2.0 authentication. This email can be configured on a term-specific basis for dynamic and recurring payment terms.

  • Piano Subscriptions of the subscription with deferred start: Sent to a consumer whose subscription with deferred start is activated. This email can be configured on a term-specific basis for dynamic and recurring payment terms.

  • Bill: Sent to consumers after clicking on a button in the My Account section under the Bill tab when a transaction was made using cash (offline) payments.

  • Bill cancellation: Sent to consumers on bill cancellation.

  • Completed registration: Sent to consumers when they convert on a registration term in return for access. This email can be configured on a term-specific basis for registration terms

  • Credit card expiring: Sent to consumers 15 days before a credit card expires. This email can be configured on a term-specific basis for dynamic and recurring payment terms and will only be sent to subscribers with an active subscription. Users with auto-renew turned off will not get it.

  • Direct debit setup confirmation: Sent to a user upon successful setup of their direct debit account and creation of the mandate. This email can be configured on a term-specific basis for  payment terms.

  • Email confirmation: Sent to consumers when they register with Identity Management with double opt-in enabled for your application.

  • External API verification rejection: Sent to consumers when an external API rejects their previously verified data. For instance, this email would be sent if Piano had initially granted a customer access based on a print subscription confirmation or a verified iTunes in-app purchase but an external server later informed Piano that access is no longer valid. This email can be configured on a term-specific basis for external terms.

  • External API verification success: Sent to consumers who successfully verify their data with an external API. This email can be configured on a term-specific basis for external terms. For print subscription confirmation external terms, this email is sent after verification. For all other external terms, this email is sent upon purchase.

  • Free access granted: Sent to consumers when free access is granted to them. See here for more information on granting access.

  • Gift delivery: Sent to gift receivers to inform them they've been given a gift. The gift giver decides during purchase whether this gift email is sent immediately upon purchase or on a specified date. This email will only be visible in Email Manager if you have gifting enabled on your application. This email can be configured on a term-specific basis for gift terms. Any sent Gift delivery email notification will not be visible on the Email tab of a gift recipient's account in the Piano dashboard since the user who is receiving the gift may not yet have created a Piano account. You can check the status of the Gift delivery email sent (e.g. delivered or rejected) on the gift giver's account in the Piano dashboard under the Vouchers tab.

  • Gift purchase: Sent to gift-givers confirming the purchase of a gift for someone else. This email will only be visible in Email Manager if you have gifting enabled on your application. This email can be configured on a term-specific basis for gift terms.

  • Gift revoke: Sent to gift receivers if a gift is revoked. This email will only be visible in Email Manager if you have gifting enabled on your application. This email can be configured on a term-specific basis for gift terms.

  • Gift subscription expiration: Sent to a user upon expiration of a gift subscription.

  • New inquiry comment: Sent to consumers in case a new comment is added to their inquiry.

  • One-off activation: Sent to consumers after a non-recurring payment or a PSC/CDS subscription activation where payment isn't required. This email can be configured on a term-specific basis for single payment terms and external PSC/CDS terms.

  • One-off confirmation: Sent to consumers when you subscribe a user from the dashboard to a fixed time term. This email can be configured on a term-specific basis for recurring payment terms

  • Password change: Sent to consumers after a password has been successfully updated.

  • Pending term change cancellation: Sent to consumers in case a pending term change (upgrade/downgrade) is canceled. Please note that this notification is only sent when the pending upgrade cancellation is performed through the Piano dashboard or when the subscription is canceled using the "Cancel subscription" option in My Account (if the "Allow customers to cancel and/or refund their own subscriptions" setting is enabled). More details about the pending upgrade settings are available here. This email can be configured on a term-specific basis for dynamic and recurring payment terms.

  • Identity Management account deletion email: Sent to an end-user on user account deletion.

  • Identity Management incomplete registration notification: Sent to a user following an incomplete Identity Management registration (passwordless attempt).

  • Identity Management link for passwordless login: Sent to passwordless consumers in case they request a passwordless magic link URL​ for login.

  • Identity Management password reset request: Sent to consumers who request a password reset using the Identity Management login screen. This email will only be visible in Email Manager if you have Identity Management enabled on your application.

  • Identity Management user created by publisher: Sent to consumers in case their Identity Management account was created by the publisher through the dashboard or API.

  • Identity Management welcome email: Sent to consumers upon the user creation via the dashboard through the Add new user button, after a bulk user creation import, after calling the API endpoint /conversion/registration/create and once the consumer confirms their email when Double opt-in is enabled.

  • Purchase of a non-recurring subscription: Sent to consumers after purchasing any non-recurring subscripiton. This email can be configured on a term-specific basis for single payment terms.

  • Purchase of a recurring subscription: Sent to consumers after purchase of any recurring subscription (including shared and external subscriptions). This email can be configured on a term-specific basis for payment terms. This email can be configured on a term-specific basis for recurring payment terms.

  • Purchase refunded: Send to consumers when a full or a partial refund is issued. This email can be configured on a term-specific basis for single payment terms.

  • Redeemed free promotion: Sent to consumers when they redeem a free promotion (when a one-off term with a 100% discount promotion is redeemed). This email can be configured on a term-specific basis for payment and gift terms.

  • Registration technical fail email: Sent to a user when their registration could not be completed due to a technical issue. This email will only be visible in Email Manager if you have Identity Management enabled on your application.

  • Shared Subscription: A child left: Sent to the parent account when a child account leaves a shared subscription. This email can be configured on a term-specific basis for recurring payment terms, dynamic, external, and gift terms.

  • Shared Subscription: Cancellation: Sent to child accounts when a parent account cancels a shared subscription. This email can be configured on a term-specific basis for recurring payment terms, dynamic, external, and gift terms.

  • Shared Subscription: Invitation: Sent to the child account when a parent account invites them to a shared subscription. This email can be configured on a term-specific basis for recurring payment terms, dynamic, external, and gift terms.

  • Shared Subscription: Leaving a subscription: Sent to the child account when they leave a shared subscription. This email can be configured on a term-specific basis for recurring payment terms, dynamic, external, and gift terms.

  • Shared Subscription: Notification: Notifies an existing account that they have been added to a shared subscription. This email can be configured on a term-specific basis for recurring payment terms, dynamic, external, and gift terms.

  • Shared Subscription: Revocation: Notifies a child account when they have been removed from a shared subscription. This email can be configured on a term-specific basis for recurring payment terms, dynamic, external, and gift terms.

  • Site license: Access expired: Sent to a consumer when their access to a site license expires.

  • Site license: Access redeemed: Sent to a consumer when their access to a site license begins.

  • Site license: Access revoked: Sent when an active user access to a site license is revoked.

  • Site license: Invitation: Sent to a consumer when they are invited to a contract.

  • Site license: Invitation revoked: Sent to a consumer when an invite to a contract is invalidated.

  • Subscription activation: Sent to consumers after any recurring print subscription confirmation activation. This email can be configured on a term-specific basis for recurring payment terms

  • Subscription auto renew enabled: Sent to consumers when their auto-renewal is manually enabled.

  • Subscription auto-renew disabled: Sent to consumers when their auto-renewal is manually disabled (for example through My Account).

  • Subscription auto-renewed: Sent to consumers when Piano successfully auto-renews a subscription. This email can be configured on a term-specific basis for payment terms.

  • Subscription cancellation: Sent to consumers if a subscription is canceled. This email can be configured on a term-specific basis for recurring payment terms.

  • Subscription confirmation: Sent to consumers when a publisher successfully applies a term to that user. This email can be configured on a term-specific basis for recurring  payment terms.

  • Subscription expiration: Sent to consumers upon expiration of a recurring payment term subscription. This email can be configured on a term-specific basis for recurring payment terms.

  • Subscription manually renewed: Sent to consumers when a subscription is manually renewed. This email can be configured on a term-specific basis for recurring payment terms.

  • Subscription renewal failure: Sent to consumers if a payment or external subscription renewal fails for any reason. This email can be configured on a term-specific basis for dynamic and recurring payment terms.

  • Term change completed: Sent to consumers on a successful term change execution. This email can be configured on a term-specific basis for dynamic and recurring payment terms.

  • Term change failure: Sent to consumers on a term change failure. This email can be configured on a term-specific basis for dynamic and recurring payment terms.

  • Term change grace period: Sent to consumers when they enter a grace period due to payment failure upon term change. This email can be configured on a term-specific basis for dynamic and recurring payment terms.

  • Term change scheduled: Sent to consumers when a term change has been scheduled. This email can be configured on a term-specific basis for dynamic and recurring payment terms.

  • Transaction info: A transaction receipt is sent to consumers when one of your customer service representatives clicks on an "Email receipt" button from a user's profile page. This email can be configured on a term-specific basis for dynamic and all payment terms.

  • User registration: Sent to users when they create a new account through Identity Management or Piano Accounts.

  • X Days after access ends: Sent to consumers X days* after their access to a resource ended. Can be configured on a term-specific basis for custom, registration, and single payment terms.

  • X Days after access starts: Sent to consumers X days after their access to a resource began. Can be configured on a term-specific basis for custom, registration, and single payment terms.

  • X Days after auto-renewal: Sent to consumers X days after auto-renewal. Can be configured on a term-specific basis for subscription payment terms. This notification is not sent to users on a Site License contract.

  • X Days after gift subscription ends: Sent to gift recipients X days after a gift subscription ends. Can also be configured on a term-specific basis for gift terms.

  • X Days after gift subscription starts: Sent to gift recipients X days after a gift subscription started. Can also be configured on a term-specific basis for gift terms.

  • X Days after subscription ends: Sent to consumers X days after a subscription ends. Can be configured on a term-specific basis for dynamic and subscription payment terms.

  • X Days after subscription starts: To consumers X days after a new or upgraded subscription started. Can be configured on a term-specific basis for dynamic and subscription payment terms.

  • X Days until access ends: Sent to consumers X days before their access to a resource ends, including child accounts of shared subscriptions. Can be configured on a term-specific basis for custom, registration, and single payment terms.

  • X Days until auto-renewal: Sent to consumers with auto-renewing subscriptions X number of days before renewal (including renewals from a free/paid trial to a regular subscription). Can be configured on a term-specific basis for subscription payment terms. This notification is not sent to users on a Site License contract.

  • X days until auto-renewal: Direct debit: Sent to consumers when the subscription is about to be renewed with a Bacs or SEPA Direct debit payment instrument. Can be configured on a term-specific basis for subscription payment terms.

  • X Days until gift subscription ends: Sent to gift recipients X days before a gift subscription ends. Can also be configured on a term-specific basis for gift terms.

  • X days until pending term change execution: Sent to consumers X days before their subscription is set to change term (upgrade/downgrade). Can be configured on a term-specific basis for dynamic and subscription payment terms.

  • X Days until subscription ends: Sent to consumers X days before a subscription ends. Can also be configured on a term-specific basis for subscription payment terms.

  • Dynamic subscription apply term wizard purchase confirmation: Sent to a user when a publisher successfully applies a dynamic term to that user. This email can be configured on a term-specific basis for dynamic terms.

  • Dynamic subscription automatic billing confirmation: Sent to a user when Piano successfully automatically bills user for a dynamic subscription inside of the access period. This email can be configured on a term-specific basis for dynamic terms.

  • Dynamic subscription automatic renewal confirmation: Sent to a user when Piano successfully auto-renews their dynamic subscription with changing/restart of the access period. This email can be configured on a term-specific basis for dynamic terms.

  • Dynamic subscription checkout purchase confirmation: Sent to a user upon purchase of a dynamic subscription. This email can be configured on a term-specific basis for dynamic terms.

  • Dynamic subscription deferred cancellation: Sent to a user upon deferred cancellation of a dynamic subscription. This email can be configured on a term-specific basis for dynamic terms.

  • Dynamic subscription expiration: Sent to a user upon expiration of a dynamic subscription. This email can be configured on a term-specific basis for dynamic terms.

  • Dynamic subscription immediate cancellation: Sent to a user upon immediate cancellation of a dynamic subscription. This email can be configured on a term-specific basis for dynamic terms.

  • Dynamic subscription manual billing confirmation: Sent to a user upon manually initiated billing of a dynamic subscription inside of the access period. This email can be configured on a term-specific basis for dynamic terms.

  • Dynamic subscription manual renewal confirmation: Sent to a user upon manual renewal of a dynamic subscription with changing/restart of the access period. This email can be configured on a term-specific basis for dynamic terms.

  • Dynamic subscription renewal notification: Sent to a user X days before the dynamic subscription renews with changing/restart of the access period. Guarantees transition to a selected period. The expected behavior is that when the "Dynamic subscription renewal notification" email toggle is enabled, the subscription will renew to the price communicated at the time of notification, even if the dynamic term is updated later. If that toggle is not enabled, the renewal will follow the most current dynamic term period configuration at the time of transition. This behavior is unaffected by the "X days until dynamic subscription automatic renewal" email toggle. This email can be configured on a term-specific basis for dynamic terms.

  • Dynamic subscription renewal period override: Sent to a user when their dynamic subscription expected renewal period is manually overridden. This email can be configured on a term-specific basis for dynamic terms.

  • Dynamic subscription resumption: Sent to a user upon resumption of a dynamic subscription. This email can be configured on a term-specific basis for dynamic terms.

  • X days after dynamic subscription automatic billing: Sent to a user X days after successful billing inside of the access period. This email can be configured on a term-specific basis for dynamic terms.

  • X days after dynamic subscription automatic renewal: Sent to a user X days after they have been auto-renewed with changing/restart of the access period. This email can be configured on a term-specific basis for dynamic terms.

Gift delivery

When it's sent

To gift receivers to inform them they've been given a gift. The gift giver decides during purchase whether this gift email is sent immediately upon purchase or on a specified date. This email will only be visible in Email Manager if you have gifting enabled on your application. Any sent Gift delivery email notification will not be visible on the Email tab of a gift recipient's account in the Piano dashboard since the user who is receiving the gift may not yet have created a Piano account. Dynamic subscription renewal notification

When it's sent

Sent to a user X days before the dynamic subscription renews with changing/restart of the access period. Guarantees transition to a selected period. The expected behavior is that when the "Dynamic subscription renewal notification" email toggle is enabled, the subscription will renew to the price communicated at the time of notification, even if the dynamic term is updated later. If that toggle is not enabled, the renewal will follow the most current dynamic term period configuration at the time of transition. This behavior is unaffected by the "X days until dynamic subscription automatic renewal" email toggle.
